Bursary Administration   {FSAO1-6}


This is sponsor bursary administration {FSAO-6}.

Clients is not allowed to use this option because sponsors was replace by the bursary en loan subsystem, except if the client used sponsors before the existence of the bursary en loan subsystem and did not change to the bursary en loan subsystem.

In this option bursary details can be maintained and consist of two Blocks namely:



Block 1: Student Biographical Detail
Block 1: Page 2 Personal Details and Formal Statistical Information

Block 1: Page 3 General Information , Employment Details, Administrative Comments

Block 1: Page 4 Selection Comments, School and Post School Activities

Block 1: Page 5 Matric Details and Bursary Details
Block 2: Student Bursary/Loan Detail


Fields in the option:

Block 1:  Biographical Information

If a student's bursary/loan detail is to be maintained, the user will query the specific student in Block 1.  In this Block all the information of a student, as maintained in option {SREGB-1}, can be seen but none of the details can be updated.  The user can scan through the details with the <ENTER> or <NEXT FIELD> keys.  There are three new fields at the end of this block, which can be maintained.  The <PREVIOUS FIELD> key can also reach these fields as a shortcut to the end of this block.  The following information is required: block 1 Page 5

Family Income N14,2 The total income of the household per month.
Occupation of Breadwinner A30 Enter the occupation of the main breadwinner.
This information is used in the selection process of students who qualify for bursaries and/or loans.  On the <PREVIOUS BLOCK> or 4 x <NEXT BLOCK> command the user will reach the Block in which bursary applications and allocations can be done.

Block 2:  Student Bursaries/Loans

After the <PREVIOUS BLOCK> command the student number will be transferred to the first field in this Block.  On entering the number, the system will display the student's name and the following information can be maintained:

Student Number N9 The number of the Bursar/Student or Borrower/Student is entered here or if a student was queried in Block 1, the number will be transferred.  The student's name is displayed.
Year (YYYY) Specify the year in which the bursary/loan is applied for or granted.
Bursary/Loan Code A6 Specify the code of the Bursary Fund from which the amount applied for is granted/allocated from <LIST>.  The system will display the name and previous amounts applied for and awarded.  This instruction does not create any entries to the debtor's record or to the GL.  This field is not updateable but can be queried.
Amounts for this bursary/student combination:
Amount Applied for N14,2 Specify the amount applied for by the student for this specific bursary/loan.  The system will not allow more than one application by one student for the same Bursary/Loan in the same financial year.  If it should happen that a bursary or loan application amount is increased after the original amount was updated, the user should query the original entry and update the amount.
Amount Awarded N14,2 Specify the amount awarded to the student from this specific bursary/loan.  The system will not allow more than one allocation per student in the same financial year.  If it should happen that a bursary or loan amount is increased after the original allocation, the user should query the original entry and update the amount.
Total Amount Applied for N14,2 The total (previous) amounts applied for by the student for all bursaries/loans will be displayed. 
Total Amount Awarded N14,2 The total (previous) amounts awarded to this student from all bursaries/loans will be displayed.
The bursary amount as defined in {FSAO-6} less the amounts already allocated to students in the previous fields, will be displayed in the field “Total amount still available in this bursary”, which is not updateable.  It is possible to award more than the amount available in the specific Bursary/Loan Fund.

Two additional fields are displayed.  The information is maintained during the completion of biographical data, option {SREGB-1b1p3} (general information). On entering the student number the system will retrieve the following:
Bursary required (Yes/No) A1 From applications and registration information.
Loan required (Yes/No) A1 From applications and registration information.
