Individual Detail {KOPS-1} 


Three types of contact individuals are identified in this three-Block option.  

In Block 1, the option is used to create “Other users” on the system (individuals who are not employed by the institution) and to indicate if the person is a representative of any particular company.   

In Block 2 the user may display a staff member's information and also indicate if the person is a representative for the Institution.

Block 3 specified the hobbies and/or interests of the contact individual

 

Fields in the option:

Block 1:  Maintain Other Users (use his block only when the individual is not personnel or alumni, else start at block 2)

Individual Number N9  Enter a unique number for the other user.  If this user has been created in the personnel or alumni system, he/she does not have to be created again.  
Surname  A30 Enter the surname of the person
Title  A4 Enter the title of the person, e.g. Mr., Mrs., Dr. The <LIST> function contains all the Titles that can be use on the system. To create a new Title use option {GCS-9}
Initials A6 Enter the initials of the person.
First Name A40 Enter the first name of the person
Birth Date DD-MON-YYYY Enter the birth date of the person
Gender  A1 Enter (M)ale or (F)emale.  The description is displayed by the system.
Language A1 Enter (E)nglish or (A)lternate.  The description is displayed by the system.
Representative? A1 Enter (Y)es or (N)o, depending on whether the person is representing a company or external organisation.  The de­fault value is (N)o.
Designation  A40 Enter the job title of the person.
Company Name A30 Enter the name of the company that this person represents.

Block 2:  Individual Personal Detail - Personnel Detail

Number  N7 Enter the personnel or alumni number.  This field is mandatory.  Once the number has been entered, all the fields below are populated from the Personnel System, with the exception of “Representative?” and “Physical address”.

First Names  (System display, non-updatable field)
Representative? A1 Enter (Y)es or (N)o, depending on whether the person is representing the Institution at an external organisation. The default value is (N)o.

Number  N9 Enter the personnel-, alumni- or “other” number.  This field is mandatory.  The surname and initials of the person is displayed.
Code A5 Enter the code via the <LIST> function.  The description is displayed. To create a new Hobby/Interest codes use option {KCS-11}
