Validate Service Records {PAOP-6}

This option performs extensive validation of personnel service records and checks fund membership records for duplicate records if the ITS Payroll System is in use.

General information (delete if not applicable).When this option is executed, the user can elect to validate only those personnel in service during the current tax year, or all personnel on the database.

Up to three errors containing “Fatal Errors” and / or “Warnings” will produce reports.  An error report is produced if there is at least one fatal error or warning. A control report is always produced. The ideal situation is a personnel database that produces a zero fatal error count and a minimum warning count.

The fatal errors will affect the accuracy of STATS Reports and Service Record Reports, and will cause either the salary calculation or the SITE / IRP5 program to crash or act unpredictably. The warnings will affect Service Record Reports.

The reports and their respective error messages are:

1. Validation of Salary-Related Detail.

• Invalid marital status
• Wife classified as tax dependant (RSA ONLY)
  

• Female divorcee has tax status “A” but no dependants (RSA ONLY)

2. Validation of Fund Membership Records.

• Duplicate end dates

3. Validation of Service Records.

• No service records at all
• Duplicate start dates
• Duplicate end dates
• Start date on record bigger than end date
• End date of previous record bigger than start date of next
• No record with start date = appointment date
• No record with end date = resignation date
• Record has null end date, but resignation date exists
• Record with no end date is followed by record with end date
