Biographical Archive Detail {SMNT4-2}

This option contains the archive records. No codes (e.g. Residence or Result) are copied, since these may change over the years. Instead, the description of the code at the time that the copy process was done is copied. Records may not be inserted, updated or deleted.

Option {SMNT4-1} is for archiving the records of students who are no longer active on the system. When using this option, the year up to which the archiving must be done can be specified. All students who did not register again after the chosen year will be removed from the live student system and copied to the archive system. The extent of the data in the archive system is much less than that kept of active students and the data is kept in three blocks.

Block 1: Biographical Detail

		Most of the information on this screen can be copied to the records of alumni. Note that the information on this screen can never be updated. Aspects such as Surnames and Addresses, that might have changed over time, will still be displayed as they were when the records were archived, (updating can, however, be done under the alumni options).

Block 2: Enrolment Detail

Field	Type & Length	Description
		For every year that the alumnus was registered at the institution, a record will be displayed in this block. Information, such as the Qualification registered for, as well as the annual and qualification results might be of particular importance to the Alumni office.

		Every subject, for which the alumnus was registered, will result in one record in this block.
