Introduction  {FRM-24} / {FSDC}


1.1.  General Information 

This is the User Manual for the ITS Debt Collection Interface Subsystem.  It is one of a series of user and technical manuals that is available for the ITS systems. A complete list of manuals may be found in the General Support System Manual.


The reader is referred to Section 1.3 for an overview of this subsystem.

It is assumed that the reader is already familiar with the general operation of the menus and the keyboard.  A Key and Function list is provided at the back of this manual. These matters are fully discussed in the “Operational Aspects of ITS Systems” Manual.

The reader is reminded that the copyright of the ITS systems and documentation remains with ITS, and that users thereof are contractually prohibited from providing information thereon to third parties, such as other educational institutions.

1.2.  Overview Of Financial System 

The ITS Financial System (Menu option {FRM}) consists of the following modules (Menu option in brackets):

All of these modules are fully integrated with one another, and also with the other ITS Systems such as Human Resources, Student Information, and Asset Inventory.  More details on the individual modules are found in the appropriate User Manuals.

A comprehensive system of access control applies to these modules (refer Section 2 of this manual for more detail)

1.3.  Overview Of Debt Collection Interface Subsystem 

The subsystem provides the facility to flag students as handed over and loaded onto a debt collection system for their accounts being in arrears. Files are generated with their biographical and transaction detail, and this information is then available to use in a debt collection system. All transactions generated on the ITS system after the student was flagged as handed over to the debt collectors, can also be downloaded to the debt collection system on a daily basis, ensuring that the debt collectors are aware of any movements on the student account. This also ensures that the debt collection system and the ITS system will remain in balance. All transactions downloaded to the debt collection system will also be flagged as downloaded.  Transaction generated on the debt collection system can also be uploaded to the ITS system.

1.4.  Notes To Users Of Non-ITS General Ledgers 

The Student Debtors Subsystem is fully integrated with the ITS General Ledger Subsystem.  If the latter is not in use at an institution, the interface between the Student Debtors module and the users' own General Ledger must be created through an Interim Transaction File (ITF), which may then be used to update the user's own General Ledger regularly.

Given the file specifications by the user, ITS can write a program to create the ITF in the exact format required by the user's General Ledger.  If the latter has a Batch Journal Facility, this offers an easy way of importing the data, otherwise the user should write an in-house program to update his own General Ledger from the ITF.
