Census Dates {GOPS-1}


A number of census dates are required in the production of HEMIS reports. The census date for the HEMIS Headcount Tables (the first Tuesday in June) is calculated by the system and need not be supplied by the user.

Other dates will differ from year to year, depending on the institution's calendar, and must be supplied annually.

The census dates for SAPSE Tables 2.9 and 2.10 are maintained here. One record is required for each of the following: year, semester 1 and semester 2 subjects.

Year YYYY The Calendar Year for which the Census Dates are being provided, in the format "YYYY".
Block Code N2 There are different Census Dates for Year Block, Semester 1 Block and Semester 2 Block subjects. A "0" is entered for Year Block subjects, a "1" for Semester 1 Block subjects, and a "2" for Semester 2 Block subjects. Any additional Blocks may be created here, as deemed necessary. This is fully documented in manual Student Codes Manual and defined in menu {SCODE2-1}. The <LIST> function will display all Valid Block Codes as created in {SCODE2-1}.
Start Date DD-MON-YYYY The Start Date of the particular teaching period in standard date format.
End Date DD-MON-YYYY The End Date of this period.
Census Date DD-MON-YYYY The Census Date for this period, as per HEMIS 011, p2.1.
End Service Date DD-MON-YYYY Enter the End of Service Date. A Student may submit tasks up to the End Service Date. If this field is NULL, the End Service Date will default to the End Date. If the End Service Date is before the End Date, the student will be allowed to write examinations after the End Service Date, but will not be allowed to submit tasks.
Earliest Issue Date DD-MON-YYYY Enter the earliest issue date for Study Guide Items. Also look at Outline Study Guide and Enquirer Manual
End LMS Service Date DD-MON-YYYY Enter the date up to which the detail can be passed on to the Learning Management System (E.g. Blackboard). If the End LMS Service date is empty, then the normal End Date for this period will apply.

PanelBox2:  Residence Periods

The start and end dates of each residence period are also required in computing the FTE residence student numbers for HEMIS.

Block Code A2 There are different Census Dates for the three periods with regards to Hostel Accommodation. A "0" is entered for a year block, a "1" for semester 1 block, and a "2" for semester 2 block. The <LIST> function will display all valid Block Codes as created in {SCODE2-1}.
Start Date DD-MON-YYYY The Start Date of the particular Hostel period.
End Date DD-MON-YYYY The End Date of this period.
