Once the order for a periodical
for a future period has been placed, option {LPEM-3} is used to create
the records for the receipt of the individual items.
The procedure for using
this option
is:
1. Enter the
“mnemonic” of the periodical in the first field OR
enter the bibliographic record number in the second field.
2. The details of the
most recent order placed for this periodical will be
displayed.
Please Note: To select a previous order the user can use the
<LOV> on the “Order Number”
field. The order number and line combination, for which
this auto-generate must be done for must be selected.

Start Volume | A15 | The volume number as it will be displayed on the eventual item record under option {LCAO-3}. It will consist of the first part of a number on a periodical, e.g. “Year XIV”. The second part is entered in the next field. |
Start Number | N6 | The second part of the volume number will be a number: the number of the first item due in terms of this order is entered here. The system will automatically allocate higher numbers to subsequent items. |
Start Issue Date | DD-MON-YYYY | This is the issue date of the first item to be
delivered in respect of this order. |
Number of Issues Expected | N3 | This is the number of consecutive copies that are to be delivered in terms of this order. For a monthly journal ordered for a year, “12” will be entered etc. |
Sequence of Issue in Start Volume | N3 | Enter the sequence of the issue in the starting volume
that is to be generated. When these fields have been entered, and a (Y)es is been entered in the last field on the screen, the system will generate the “expected” number of records. These can be viewed under options {LPEO-1} and {LPEM-4}. |
Note | A40 | A note concerning this publication can be entered in this field: it will be displayed and can be updated under option {LPEO-1}. |
Number of Issues per Volume | N3 | If the volume changes during the year, the system will
step up the
volume number automatically according to the information entered in
this field. |
Arrival Delay Before Claim 1 (Days) | N4 | The system will produce claim letters to vendors. This field will determine the number of days after the publishing date that will be allowed before the first claim letter is produced. |
Generate Detail Records | This option will generate all the periodical records required for the data on the screen. | |
This option can also be used to query on previously generated periodical copies through this option. The user can query using the order number, bibliographic record number, mnemonic, etc. The data, as previously entered, will be displayed. This data can, however, not be changed or updated, since the generation has already been done. This will also enable the user to view the reasons why copies were incorrectly generated. |
