Work list Operational Manual
An operational manual for Work lists.
To create a work list or a note reminder for a specific user, a route must be defined in {GROU-1}.
To kick off this routing request we maintain it on {GROU-2}. An example of such a work list is shown below.
Example: GROU-1 b1
- Create a Entry for the routing type of the work list.
- Commit this entry and proceed to block 2.
Example:
GROU-1 b2
- Make sure you select user for a note reminder or a worklist.
- Enter the routing sequence as to where and to whom this work list
is for, in other words you can specify whom shall see this work list on
their work stations.
- If you need to notify more than one person, then you need to add another user with the same Entry type but a new sequence no.
- Commit and proceed to block 3.
Example:
GROU-1 b3
- On this block you specify the instruction for that specific user, what must they do.
- This instruction is the information that will display when the
user clicks on the entry screen under work list on the specific detail.
- Commit and proceed to block 4
Example:
GROU-1 b4
- On this block you have to specify what the outcome of that route should be.
- Is it completed must it continue ect.
- Commit and exit, proceed now to GROU-2, to kick off this routing process.
Example:
GROU-2 b1
- Supply the activating user for this work list.
- Supply the routing request type that was specified in GROU-1b1.
- Supply the same system id as in GROU-1b1
- Commit and exit.

- The work list /note reminder created above will now appear on the Integrator Entry Screen displayed by an icon
shown in the example below.
- To see what this work list is all about, click on the field
displaying the work list detail, in this case "1 WORK LIST
DISPLAY/NOTE REMINDER."

- This is an example of the work list detail instructions of what the user must do.
- In order to complete or finalise these instructions click on the
fill in the outcome as it was set up in GROU-1b4.
- It will then disappear from the entry screen. In this case the outcome of this route was COMP.
- Commit and click on the Entry Screen.
Example:

- No longer a work list or note reminder for this user.
EXAMPLE OF EMAIL
This routing is already set up in the ITS system, the route for web
leave requests is WEBL. There are other routes that already exist
namely:
- FBUY Pm Buyer Notification
- FINS Pm Insufficient Notification
- FCHQ Pm Cheque Requests
There is another option that needs your focus:

There exists a code namely ED for subsystem GC and the Description is EMail Work List Display Timeout on ES (Minutes)
On this definition one can set the time out for the email, if timeout
is set to zero (0) then it will clear the list that is available on the
entry screen, also if a user has three web leave requests that needs
approval and only one of these web leave requests falls within the
timeout frame, it will not clear.
The formula to use for the numeric field that will be used to timeout
the mail is as follows: Days x Hrs x Mins, in mathematical terms, 365 x
24 x 60.
Example:
To work out the formula for a week, meaning that all web leave requests will display for that week and then be cleared.
7 x 24 x 60 = 10080 Enter this number in the numeric field where
currently has been set up with 9999999999999, and then commit. All Web
leave requests will only display for this week and then be cleared.
Example:
To work out the formula for a day would be:
1 x 24 x 60 = 1440
Example:
Web Leave Requests
- Log onto the personnel iEnabler
- Select Leave application
- Put in a leave request.

- The email will now route from above and appear on the Integrator Entry Screen displayed by an icon
shown in the example below.

- The user cannot complete the out come here.
- Emails recieve an outcome by applications like web leave
approval, finance requisitions, order approval and also overriding of
finance insufficient funds.
