Overview of Document Storage and Retrieval {GSYS-8}
This system allows the user to Store and Retrieve Electronic
Documents.
Document Categories {GDOCS-1}, to be defined by the System Administrator is central to the operation of the system.
For each Document Category, the following set-ups are available
- Storage Type
- If left blank, documents of the category will be stored on the back-end database of the Integrator System.
- Note that for this storage type there is an upper limit of 4 GB per document
- This storage type may have a significant effect on the
increase in database size, depending on the size and volume of
documents to be stored.
- If set to "BFILE", documents of the category will be stored in
a directory directly accessible for read/write operations to the
back-end database of the Integrator System through an "Oracle Directory
Object".
The creation of the Oracle Directory Object has to be done by technical personnel through the back-end database
- If set to "HTTPURI", documents of the category will be stored
at the specified URI / URL provided that the URL is accessible for
read/write operations to the back-end database of the Integrator System.
The background set-up has to be done by technical personnel
- Storage Directory
- The name of the "Oracle Directory Object" or "URI" where the documents are to be stored or retrieved from.
- A number of reference fields with a prompt and a link to an
object (field value) in the Integrator System. The reference fields
will create a user defined index to reference documents.
- The File Types (Identified by Mime Type and File Extension)
allowed for the Document Category with functionality to restrict the
File Size for each to value specified by the System Administrator.
- Functionality to Link Documents to Application Programs {GDOCS-4}
that may be used to specify a link between the documents and records in
the Integrator System. This link allows the end users to view, email or save documents
associated with individual records through the applications programs
used to view or maintain the relevant records.
An administrative function to Maintain
Documents saved by All Users {GDOCS-3} exist allowing the user to Store, Retrieve or Remove all documents
A similar option, restricting the user to Maintain Documents saved by the him-/herself {GDOCS-2}
also exist, allowing the user to Store, Retrieve or Remove only
documents saved by him-/herself, although user access to documents will
normally be done through the transactional screens using Link Documents
to Application Programs {GDOCS-4}.
