Block 1: Marc Subfield Information

The way in which individual MARC sub-fields are proccessed is determined in this option. Each sub-field is designated by the combination of a field and sub-field number. The system has a default with the standard list of MARC sub-fields.

Description
Tag N3 Enter the tag as defined in MARC.  These tags must already be entered in {LCAC-2}.
sub-field and Description A1 Enter the sub-field code and description of the sub-field.  Indicators, as defined in the MARC manual, are entered in the ITS system as “*” (star) sub-fields.
Load From Tape A1 For each sub-field there is an indicator “Load from tape?” that can be set to either “Y” or “N”, thereby specifying which sub-fields are to be incorporated into the system when bibliographic records are obtained from SABINET. The decision on which sub-fields are to be used, will depend upon the particular circumstances of the library. Some institutions may feel that they may never use the  information in some sub-fields, and that this would merely cause unnecessary burdens on the system. These sub-fields can then be omitted. If the feeling is that the data in all sub-fields is potentially useful, then all can be copied.

A list of the sub-fields which are normally used in information retrieval, is provided in Appendix A.  Omission of any of these sub-fields would limit the information retrieval capabilities of the system.

It should be noted, however, that a change in the sub-fields which are to be used for searches, will not have any immediate effect on the bibliographic records that are already in the system.
Index Type A1 A second indicator “Index Type” is also provided.  Available indexes in the system are:
  • (A)uthor - the records in this index will be retrieved when an author search is done
  • (T)itle - the records in this index will be retrieved when a title search is done
  • (S)ubject - the records in this index will be retrieved when a subject search is done
This field enables the library to include tags other than just authority terms in indexes.  As an example, locally created keywords (as entered in the 650a tag) which are added to bibliographic records, can be included in the (S)ubject index.  These keywords will then also be retrieved in subject searches.
Repeat sub-field A1 Some sub-fields within a particular field or tag can be repeated, whilst others are, by definition, non-repeatable. The system will allow repetition only for sub-fields where this indicator is set to “Y”.
Check User Interest A1 User interests are set up in {LUSER-1}.  When authority terms are entered, the term is automatically searched for in the relevant subject index.  This field allows the user to specify a field and sub-field, which are not linked to an index, which must be included in the search for terms that are entered as user interests.  Only terms that are not linked to an  index, can be specified in this field as “Y”.
