Program Allocation {P00005-18}


The option, as a whole, is available or not, depending on how it is set up in the business process {PWEBM-1,2}. This process is described above in {PWEBM-2}.  The second method of de-activating the option is to take away select privileges in {USERS-2}.


This option is used to maintain the STATS timesheet information.  The same information can also be maintained using {PSOP-6}.  For more detail on the use and purpose of the information maintained in the option, refer to the on-line help for the above option.

The option will maintain or insert records for the year indicated in the STATS Control file {STMNT-1} for table sequence 3.

When no timesheet detail exists for a personnel member for a particular year, only the personnel number, name and primary department of the personnel member for the year will display on the screen.

A button will be available to allow the user to enter new records.

The following data fields should be completed:

Integer Part

The main programme classification category.  For a detailed description of the programme classification structure, see the Manual SAPSE-002, supplied by the South African Department of Education.

A description of the main programme can also be found in the VALPAC on-line help, also supplied by the South African Department of Education.

The are a list of values available on this field, together with a description of the programme classification groups. When the user selects an entry from the list, the following two fields will also, be populated automatically.
 
First Decimal

The first programme classification sub-category.
 
Second Decimal
 
The second programme classification sub-category.
 
Percentage
 
The percentage of the personnel member’s time spent on the particular programme classification group.
 
Once records with the above information are saved, a second screen will be made available to the user through a link to “Allocation to PCS-1.10 to Subjects".

This link will enable the user to enter subject information for employees who indicated that they were involved in:
The total of the percentages for all subjects in this Block should be the same as the percentage entered against Formal Instruction in the previous Block.

The following data fields should be completed:

Subject

A list of valid subject codes will display, from which the user can choose. The list will include only subjects from the department(s) to which the post of the personnel member is linked.
 
Percentage

The percentage of the personnel member’s time spent.

Note: if the employee was involved in Community Instruction, Preparatory / Remedial Instruction or Research, but not in Formal Instruction, a subject with a Zero (0) percentage should be added to derive the CESM Category of the Programme.

New records – If the total time allocation is already 100%, then first click on the existing records and reduce the time allocation accordingly; save; then click on new record and choose the correct option from the list and insert the correct % of time spent in the new record. The total % of time spent may not exceed 100%, but it may be less than 100%.

Once a new record has been entered or a current record has been changed, click on the “Save” button.

The “Delete Record” button will delete a specific record that is displayed if this button is clicked on.

The “Clear Form” button will clear all the fields and should be used if an invalid value was entered on a new record.
