Maintain Probation Questionnaires {PAOP1-1}


This program may be used to maintain the questionnairres used in the probation process. Refer to the Overview of the Probation Process {PAM-5} for information on the full process.


Fields in this option:

Block 1: Appointment Types

This block does not allow the user to create or delete records and only the Probation Routing Type - field is updateable. Appointment Types {PACS-1} are queried and updated here.

Appointment type N2  
Type A1 Appointments are either (P)ermanent or (T)emporary as entered in Appointment Types {PACS-1}.
Pay by Claim A1 Indicate whether this appointment type is paid by (S)alary or (C)laim. 
Probation Routing Type A4 This is the Routing Request Type {GROU-1} that will be used in the Probation Process for personnel appointed with this Appointment Type. Only Routing Request Types with System ID (P)ERSON may be used.

Block 2: Route Question Group Link

This block is used to link a Question Group to a specific Routing Request Sequence.


The prompts in the Question Group is set-up in the next block

Note: Question Groups cannot be repeated or linked to other sequences. If that is required, "Copy Probation Question Set {PAOP1-2}" may be used to copy all the questions linked to a specific question group to a new question group.

Note: The Probation Process will not be applied to personnel where no Probation Routing Request Type is linked to the Appointment Type of the person.

Description A30 The description of the Routing Request Type will display here.
Route Sequence N3 Only Routing Request Sequences with a Responsible Person will be allowed.

Routing Request Sequences linked to Outcome (T)ime Out or (C)ontinue will not be allowed
Question Group A4 The Question Group(s) that contains the Questions to be answered in this Sequence
  • Note that multiple Question Groups may be linked to one Sequence
Description  A30 This field displays the Question Group.
Question Sequence N3 The order in which the Question Group will display within the Routing Sequence.

Block 3: Question Groups

Group A4 A unique Question Group code.
Description A30 A description for the Question Group.
Repeat A1 If set to (Y)es, the program that presents the Question Group to the end user will allow the end user to create multiple occurrences of the Question Group to enter multiple answer sets.

For example if there are a Question Group "Courses attended", with this field set to (Y)es and with Questions
  1. Name of the Course
  2. Date Attended
The respondent will be allowed execute a "Repeat" action which will allow data for more than one course to be entered

Inactive From Date This date indicated from what date the group is inactive  and should not be used.
System Generated A1 If this is (Y)es, the Question Group is supplied by the System and cannot be modified.

Block 4:  Question Detail 

This block contains the Questions and Answer Types for a specific Question Group.

Group A4 As in the previous block.
Sequence Number N7 The sequence of the Question in the Question Group. 
Required A1 An indication whether a response to this Question is required on whether a response is optional.
Answer type A4 The Answer Type applicable to this Question.

Answer Types are defined in the next block

Weight N2 This field (Weight) and the field "Score" on the Answer Type may be used to calculate a Total Score for the Probation Assessment.
Maximum Points N4 This field can be used to determine the maximum points to be allocated to the question , should the system needs to calculate a score based on the applicants answers to the questions.
Repeat A1 If set to (Y)es, this field will repeat within the Question Group.
Formatting A20 Please note: This field is reserved for future development.
System Generated A1 If set to (Y)es, the Question was supplied with the System and cannot be changed.
Inactive From Date This date indicates from which date the Question is inactive.
Question Detail A2000 The text of the Question to be displayed.
Answer to Alternate Question A10 If the Answer Value supplied on the Probation Evaluation Questionnaire in response to the Question is equal to this value, the Alternate Question (Next Field) will be presented on the Probation Evaluation Response.
Alternate Question A2000 An alternate Question that will be presented, based on the response of the end user on the Question. (Refer to the previous field)

 
Block 5 : Question Answer Types

Type A4 A unique Answer Type code. 
Description A30 A description  of the Answer Type
Answers A40 If the Answer type only contains two apposing answers like 'Yes' and 'No', then the answers can be defined here.
Min/Max Level N5 If the Answer type has a range of answers the minimum and maximum values can be restricted here.
This Prompt is a
A1 The type of prompt that will be presented on the Probation Questionnaire. The following values are available.
  • Prompt Types with no set-up
    • (A) - Text Box : This will create a free format text box where the user can capture his answer
    • (D) - Date: This will create a "Date Control" where the user can select any date value.
    • (S) - Single Text Line: This will create a free format text line where the user can capture his answer
  • Prompt Types where values must be set-up in the next block (Multiple Choice Answers)
    • (B) - Check Box: This will create a check box data control
    • (P) - Popup List: This will create a field with List of Values
    • (R) - Radio Group: This will create a Radio Button group
  • Special Type
    • (T) - Value from a List Of Values.
      • This will create a List of Values based on data from the system. Questions Answer Types with Prompt Type (T) is supplied with the system and cannot be created.
