Maintain Registered Post {SDGUIS-2}


The option allows for the capturing of references if the study material is sent by ordinary or registered post.  The information also allows the user to capture when the material was posted.  The post number (postal track and trace number) and date sent information can be viewed for all items linked to the issue reference number, when the student is queried in option {SDGUIS-1}, TAB - Requested/Issued/Returned Items. If the issue has more than one postage parcel then use Tab - Item Registered Post to capture the post number and date sent on item level.

Fields in the option:

Block 1:  Registered Post

Description
Student  N9  The student’s student number for which the items is sent.
Document No.  N10 The issue voucher reference number needs to be entered.  The <LIST> function will display valid issue voucher for the student.
Post Number N20 If the items are sent with registered post the registered reference number must be captured for this field.  If registered post is not used the field can be left blank or an internal reference can be entered.
Send Date DD-MON-YYYY The date on which the study material is sent to the student.

The date sent will default to system date if the issue was not split into different postal packages else if  items on a issue was already dispatched to the student,  on selecting the  issue number the program navigates to the Item Registered Post tab page.

If the user selects an issue voucher number  and directly navigates to the Item Registered Post tab page the date sent on all items not yet dispatched defaults to system date on the issue. If an item was not yet dispatched the date must be cleared before the user commits.  
Item Level   This is a display only field. It is an indication whether items are split into different postal packages
Print Issue Label    Press the Button to Print the Issue Label.  This function process option {FPMOR4-31} "Study Guides Issue Label". Visit the option for all the operational rules and setup.

Block 2:  Item Registered Post

To accommodate the split of material in more than 1 box. Some times the number of items to be sent to a student may be too bulky to fit into a single box. The courier number can be recorded/altered per item. Block 2 is similar to block 1, with one new field ‘Item’ added.

Processing

  The program were be made sensitive (both block 1 & 2) to include only a record where the item detailed type (FNGIDT) is “M” or “A” and the Copied (FNHCOPIED) “N” or “P”. This is to ensure that records that were issued incorrectly on the system and that were book back is not displayed incorrectly for this option.

The information as for table’s FNHRID & FNGRID are displayed. The item code and description are as on FNGRIT and the rest of the information exists on FNHRID.

When a record is queried or entered and committed for 1st block, when next block function is used for the record on which the cursor is on for block 1, display per student / voucher all items linked for that issue reference. If a post number or sent date exists it must display and allow update if it is going to be send out as different parcels.

If b1 is used, b2 is not used and if block 2 must be used b1, Post Number, Send Date, must be cleared.
