Student Address Maintenance {SREGB-26}

The 'Student' is identified from the students biographical detail on {SREGB-1}. A valid 'Student Number' is mandatory for retrieving of Contact / Address / Communication details of the Enquirer.

Records cannot be deleted. According to a set of rules as explained below an 'End Date' must be entered before a new record for the same address type can be created.

Validations will be done against {GCS-24} for the following values:

Field: 'System Code Reference Type' equals 'S' (Student System - linked to 'Code' equals 'I'- Student).
Field: 'Select the Relevant Type' equals 'C' - Contact, 'A' - Address' or 'T - Communication'.

1. Primary Contact:

On the 'Address System' the 'Student' is represented as the mandatory 'Primary Contact'.
The 'Primary Contact' cannot be captured manually as it is automatically created on the capturing of the 'Biographical Details' on {SREGB-1}.
The 'Primary Contact' (sequence '0') cannot be closed or ended, but;
Fields: 'Contact Relationship', 'Contact Name' and Remarks fields are updateable and can be changed by the user.

Take note that a 'Master Detail' relationship exits between the 'List of Contacts', 'Contact', 'Address' and 'Communication' panel box / tabs.

Contact Type	A2	{GCS-24} - for system 'S - Student / Alumni / Enquiry, Code 'I - Student' and Type 'C' - Contact and Reference is not equal to 'P'. 'Primary Contact' or contact for sequence''0' cannot be created here - this should have already been created on capturing of a record on {SREGB-1}. A warning will be issued if a record with the same 'Address Type' already exists and was created before the current date or on the current date.
Contact Relationship	A5	A List of Values is available with data as defined on {GCS-28}.
Contact Name	A40	On entering of a valid 'Contact Type' the description will be populated from {GCS-24}.
Start Date	DD-MON-YYYY	On creation of a new record, the system date will be populated into the 'Start Date' field.
End Date	DD-MON-YYYY	A 'Contact' cannot be ended if there are active address and / or communication records linked. The 'Primary Contact' cannot be ended; and none of the contact types can be ended when validation type 'CA' in {GOPS-22} is set to 'N'. A specific 'Contact Type' cannot be ended if the indicator on {GCS-24} is set to 'N'.
Contact Sequence		System Generated.
Primary	A1	The 'Primary' indicator on a new record is set to 'Y' unless its 'Contact Type' is not flagged as 'Primary' for a 'Reference Type' on {GCS-24} and; there exists an active 'Contact' record for the same 'Reference Type' and different 'Contact Type' that is marked as primary on {GCS-24}. When the user saved the new record the; Primary indicator is set to 'N'; and The Primary is set to 'Y' on another Contact record for same reference type, when found.
Remarks	A80	User can add relevant 'Remarks'.

Example:

Address Panel box:

1. Update of records with 'End Date' populated is not allowed.
2. Valid End Date cannot be earlier then the 'Start Date'.
3. Update of Address and Postal Code is allowed only when validation 'CB' {GOPS-22} is set to 'Y'.
4. Check if the 'Postal Code' is mandatory on {GOPS-22} for validation 'MP'.
5. Update of End Date is not allowed when:

Primary Postal of CSN 0
Validation 'CA' in {GOPS-22} is set to 'N'.
For a specific Address Type 'can end' indicator is set to 'N' on {GCS-24}.

6. On ending of address record with primary = 'Y':

Primary indicator is set to 'N'.
Primary is set to 'Y' on another Address record for same contact sequence number and address reference type, when found.

7. End Date cannot be populated on new record.

New Address records cannot be created under cancelled (has End Date) contact.
Check if Postal Code is mandatory ({GOPS-22} 'MP' validation) and populated.

8. Contacts (other than Primary Contact) :

An 'Student' can have 'Contacts' other than just Primary (e.g. Next of Kin, Account Contact etc.)
This 'Other' contacts must be captured manually by the relevant users.

Primary	A1	Primary indicator is set as per 'Primary' indicator rules for Contact / Address / Communication as defined on {GCS-24}.
Address Line 1	A80	User defined address.
Address Line 2	A80	User defined address.
Address Line 3	A80	User defined address.
Address Line 4	A80	When Address Line 4 is left empty, it will be populated with the 'City / Town' corresponding to the selected 'Postal Code'.
Postal Code	N4	Postal Code is mandatory when validation 'MP' is set to 'Y' on {GOPS-22}.
Start Date	DD-MON-YYYY	The 'Start Date' will be populated with the system date on creation of a address.
End Date	DD-MON-YYYY	End Date is NULL and cannot be populated on capturing of new record

Processing Rules for 'Communication' panel box:

A Master / Detail relationship exists between the Contact and Communication records . The link is on the Student Number and Contact Sequence Number for the Student System.

1.    Update of records with 'End Date' populated is not allowed.
2.    Valid 'End Date' cannot be earlier than the 'Start Date'.
3.    Update of the 'Communication Number' is allowed only when validation 'CB' {GOPS-22} is set to Y.
4.    On ending of communication record with primary = 'Y':

Primary indicator is set to 'N'
Primary is set to 'Y' on another Communication record for the same contact sequence number and communication reference type, when found.

5.    End Date cannot be populated on new record.
6.    New communication records cannot be created under cancelled (has End Date) contact.
7.    End existing record (populate end date) for the same Contact Sequence / Communication Type (if it exists) and set its primary indicator to 'N' (if it was 'Y'). The 'End Date' will be set to the 'System Date'.

Primary	A1	Indication if this is the 'Primary' Communication type.
Internet Service Provider	A10	The Service provider is selected from {GCS2-29}. When the Communication Type is the same as SOD SP/AP Service Provider Address Type for Cellphone Data
Start Date	DD-MON-YYYY	The 'Start Date' will be populated with the system date on the creation of a new Communication record.
End Date	DD-MON-YYYY	Update of 'End Date' is not allowed when: Validation 'CA' in {GOPS-22} set to 'N'. For a specific 'Address Type the 'Can End' indicator is set to 'N' on {GCS-24}.
