Co-operative Employer Information {COOP-3}


This option consists of five Blocks of information regarding the companies where students are employed either permanently or when doing in-service training. The user has to query the Employer on the first block.

Block 1:  Co-operative Employer Information

Description
Employer Code A5  A unique, user-defined code to identify employers. The <LIST> function will display the valid codes, as created at {GCS-22}.
Name A30 The name of the organisation will default from the code indicated in the previous field.
Head Office   A1 Is this the head office of the employer?. If (N)o, the Head Office Code must be provided. If (Y)es, then the Employer Code in the first field will default to the Head Office Code Field.
Head Office Code A8 The code of the head office. The <LIST> function will display the valid codes.
Description: The Head Office Employer description is displayed.
Co-op Employer? A1 This field indicates whether this employer participates in co-operative training. This is a display field only and is generated from the indicator on {GCS-22}.
Creation Date DD-MON-YYYY The system date defaults into this field and indicates the date on which the employer was created on the system.
Start Accreditation Date DD-MON-YYYY The employer is an active partner in Co-operative Education from this date onwards. This date will also mean that the employer is an accredited employer.
End Accreditation Date DD-MON-YYYY This date will indicate whether the employer is still an active partner in Co-operative Education.
Geographical Area of Head Office A4 The <LIST> function will display the valid geographical codes as set up at {GCS2-3}.
Description: The Greographical Area description is displayed.
Geographical Area of Employer A4 The <LIST> function will display the valid geographical codes as set up at {GCS2-3}.
Description: The Greographical Area description is displayed.

Block 2:  Industry Information

Block 3:  Liaison Types

The liaison persons at an employer may be defined in this Block. These persons can be any of the following:  (P)ersonnel from the institution defined in the Personnel System, (A)lumni defined in the Alumni System, (S)tudent defined in the Student System or staff from the employer, defined as (O)ther users in {COOP-2}.

Employer Code A4 The code is carried over from Block 1.
Description: The Employer description is displayed.
Person Type A1 The valid values are (S)tudent, (P)ersonnel member, (A)lumni or (O)ther.
Person Number N9 The <LIST> function will display the valid number of the person according to the "Person Type". If the type entered above is (O)ther, the system will validate that this person number is still active for the Co-operative Education System, as indicated at {COOP-2b2}.
Title: The person's Title will display.
Initials: The person's Initials will display
Surname: The person's Surname will display.
Liaison Type A4 The <LIST> function will display the valid Liaison Types, according to the codes entered at {COOPC-3}.
Description: The Liaison Type description is displayed.
Start Date DD-MON-YYYY The start date from which the person will be doing this type of Liaison for this employer. 
End Date DD-MON-YYYY The end date until which the person will be doing this type of Liaison for this employer.
Remarks A100 Remarks about the Person and the type of Liaison to be done for this employer.

Block 4:  Posts Offered

This Block can be used to indicate the posts available at the company for the purpose of Co-operative Education. The status is now replaced by multiple unavailability reasons which can be linked to a post with a start and end date.

Post Type A4 Post Types are created in option {COOPC-6} and the valid codes may be seen with the <LIST> function.

Start Date DD-MON-YYYY The start date from which the Post will be offered for this employer.
End Date DD-MON-YYYY The end date until which the Post will be offered for this employer.
Remarks A250 This field may be used for any remark concerning the posts offered.

Block 5:  Post Type Unavailability

The status of a post is now determined by the availability or unavailability of a post. Creating UNAVAILABILITY records in this block indicates the status of the post.

If a co-op record start or end date falls within the start and end date of an Unavailibility record, the user will be warned that the placement overlaps an unavailability period.

If both the start date and end date fall within the boundaries of an unavailability record, a fatal error will be raised and the dates will have to be adjusted.

It is thus possible to create multiple records in this block for the same post..

Employer Code A5 This value defaults from block one, on insertion of a record, and cannot be updated by the user. This field is, however query enabled and any employer can be queried, irrespective of the employer code in the previous block.

Post Type A4 This value defaults from the previous block, on insertion of a record, and cannot be updated by the user. This field
is, however, query enabled and any post can be queried, irrespective of the post code in the previous block.
Description: The Post Type description is displayed.
Reason Code A4 Enter a post unavailability reason code, as defined in {COOPC-23}.
Description: The Reason Code will be displayed.
Start Date DD-MON-YYYY Enter the start date of the unavailability of the post. This value is required. This date cannot be earlier (smaller) than the start date of the post in the previous block.
End Date DD-MON-YYYY Enter the end date of the unavailability period of the post. This field should be left blank to indicate an indefinite period of unavailability.
Comments A250 Enter a comment regarding this unavailability period.

Block 6:  Workstations Offered

The information in respect of availability and suitability of the workstations offered by the company, for the purpose of in-service training, can be entered in this Block.

Employer Code A4 The code is carried over from Block 1.
Description: The Employer description is displayed.
Year YYYY The year for which the workstation will be available.
Block Code A2 The Block Code for which the work station will be available. The valid Block Code may be seen with the <LIST> function.
Approved Qual. ID A2 The Approved Qualification will indicate the area of study for which the workstation is available. The ID must be defined in the Academic Structure for the year entered. The valid Approved Qualification ID may be seen with the <LIST> from the {SACAD-1} function.
Description: The Approved Qualification description is displayed.
Qualification A6 The Qualification Code will indicate the area of study for which the workstation is available. The <LIST> facility will display the active, valid qualifications for this Academic Block. This is a non-compulsory field. On entering the Qualification Code the qualification ID will default into the ID field.
Description: The Qualification description is displayed.
Type of Workstation A10 The <LIST> function will be available to display the valid type of workstations and the description will be displayed. The <LIST> will default from {COOPC-5}.
Description: The Workstation Type description is displayed.
Industry Category Code A4 The code and description will be displayed from the workstation type definition. The <LIST> function will be available to display the valid industry category codes of the Workstation, as created at {COOPC-2}. In this option, any valid industry category code may be linked to a type of workstation, whether these have been linked together at {COOPC-5} or not.
Description: The Industry Category description is displayed.
Topic of Workstation A4 The code and description will be displayed from the workstation type definition. The <LIST> function will be available to display the valid Topic Codes, as created at {COOPC-4}. In this option, any valid topic code may be linked to a type of workstation, whether they have been linked together at {COOPC-5} or not.
Description: The Topic of the Workstation description is displayed.

Employer Contact Person N9 This first person must be linked to the employer in Block 2. The <LIST> function will be available to display the applicable person numbers.
Description: The name of the Person is displayed.
2nd Employer Contact Person N9 This person must be linked to the employer in Block 2. The <LIST> function will be available to display the applicable person numbers.
Description: The name of the Person is displayed.
Co-ordinator from Own Institution N9 The number of the personnel member from the institution who will be the co-ordinator for this type and category of workstation. The <LIST> function will be available from the Personnel System.
Description: The name of the Person is displayed.
2nd Coordinator from Own Institution: Person Type A1 The valid values are (S)tudent, (P)ersonnel member, (A)lumni or (O)ther.
2nd Coordinator from Own Institution: Person Number N9 The number of the personnel member from the institution, who will be the co-ordinator for this type and category of workstation. The <LIST> function will be available and the name of the person will be displayed.
Description: The name of the Person is displayed.

Workstation Type Approved A1 This indicator will be used to make sure that a student is not placed at, or referred to a company with non-approved workstations for a certain type of workstation.
Evaluation Visit Date DD-MON-YYYY The date on which the workstation was evaluated.
@Next Visit Date DD-MON-YYYY This is used to indicate when the next evaluation date should be scheduled.@@
Minimum Number of Workstations N7 This value can be used to indicate that an employer will only accept students if the minimum number of students can be placed at the employer. It is used in the placement module to warn the user that the minimum positions are not yet filled.
Maximum Number of Workstations N7 The number of workstations offered for a particular year, Block, type and approved ID. This will be used to make sure that the number of students placed at a company does not exceed the number of workstations offered for the workstation type for the Year and Block Code. The Approved Qualification ID, entered above, will indicate the field of study for which this workstation is applicable.
Type of Duration A1 The user must indicate whether the duration of employment will be in Years, Months, Weeks, Days or Hours.
Duration of Employment N6 The duration of employment will be according to the selection at type of employment.
Evaluation A250 Comments about the workstation type.

Block 7:  Directions to Co-operative Employers

Travelling directions to the employers.
