Follow these steps when creating an attchment to be linked to iComms email.

(First tab – Maintain System Letters)

Description
  • Create attachment stylesheet
  • Use the name of the category created on GDOCS-1
  • Make sure the Output Format is ICOMMDSR
  • Make sure the Output Type is ICOMMATT
  • Make sure to put the correct Mime Type -  here  we loaded word document, so the Mimetype is application/msword
  • Choose the Document Class from the LOV, in this case it is ATT

Block 1:  GMNT-14

GMNT-14 is a simplified version of GMNT-5 to make it easier for the user.

Description

Some fields that are visible on GMNT-5 block 1 and 2 are populated in the background in GMNT-14, according to the Document Classification field.

  • Define the Attachment and Master Group on block 1. Choose the Document Classification from the LOV:

Description
  • Query the Master Group to link the Attachment to, then go to the next block to link the Attachment stylesheet to the Group.
  • Block 2 - also only has the Document Classification to define. The rest of the fields are populated in the background.
    • Note: For Attachments,  the fields "Send Mail", "Mail Destination" and "Display at Runtime" on block 2 have no relevance, because it depends on the Letter's setup;
  • Also, an Attachment will never display on the screen with the Letter when an iComms menu is run.
  • It is only the "Active" field that has relevance to an Attachment. One or more attachments may be loaded on a group, and the user can mark which ones are Active or not for a specific run of an iComms menu option.
  • The user must take extra care when making an attachment Active/In-Active when using a Master Group that is used by more than one User or Department, it may cause unwanted or incorrect attachments to be sent to students.
