Selling of Leave {PLOP-5}

This flexible two-block option allows the user to do on-line queries concerning the value of leave to be sold by individuals or groups of employees.

Fields in this option:

Block 1: Control Block

This block is not used in query mode - instead, some or all of the following information must be entered, depending on the type of calculation to be done:

Field	Type & Length	Description
Selling of leave rules be enforced	A1	(Yes or No) If “No”, values for leave to be sold may be calculated without any validation being done by the system. If “Yes”, the rules as set up in the Leave Package Structure {PLCS-3 } will be enforced.
Calculation Based On	A1	(N)otch or (P) Leave Earning / Deduction calculation rules. Refer to Monetary Value of Leave Days Sold for more detail. For this program, the payroll cycle on which the calculation is based will be the last payroll cycle in the current tax year.
Leave Type	A3	Use the list of values to select a valid leave type or enter a valid leave type for which leave can be sold.
Person Number	N9	Enter or use the list of values to select the personnel number of the person for whom values should be calculated.
Name	A30	This field is a display field only. Title, Initials and Surname are displayed.
Leave Package	A2	Enter the leave package or select a valid leave package from the list of values. The rules for selling of leave are set up on the leave package per leave type in the Leave Package Structure {PLCS-3 }.
Days Sold	N4	Advise the days to be sold here, if the selling of leave rules is to be enforced. The system will display error messages if the days to be sold are more than the days a person is allowed to sell, or any of the other rules are affected.
Calculated as on Date	Date	This field defaults to the current system date, but may be changed to any other valid date. Calculations done in block 2 will be influenced by this date as data will be selected as on this date and calculations done accordingly.
Notch	N17	The field displays the annual notch value if a calculation is done for a specific leave type and person only.
Package	N17	This field will display the base value for the calculation if it is based on the Leave Earning / Deduction calculation rules {PLCS-2} Note: This field will only be populated if the calculation is done for a single person.
Total value: Selling of leave	N17	The system will display the total value of the leave sold as per Block 2 below, if a calculation is done for a specific leave type and person only.

Block 2: Leave Sold Detail

The system runs an automatic query for all personnel / leave type combinations that meet the criteria in Block 1, and then displays the following information.

Leave Package	A2	Display the leave package.
Days Calc	N4	Display the number of days that were sold.
Max days	N4	Display the maximum days allowed to be sold within a year, as entered in the Leave Package Structure {PLCS-3 }
Min Days on Hand	N15.2	This field displays the minimum number of days leave credit that should be retained after leave has been sold, as entered in the Leave Package Structure {PLCS-3}.
Balance Before	N6.2	This field shows the leave balance before any leave is sold.
Balance After	N6.2	This field shows the leave balance after the leave is sold.
Selling of Leave Value	N15.2	Total value of Leave Sold. This field displays the value of leave sold..
Calculation Base Value	N17.2	Base value used for Selling of Leave Calculation
Calculation Based On	A1	(N)otch or (P) Leave Earning / Deduction calculation rules {PLCS-2}

	Examples: 1. Query on a Single Employee - Days Sold Specified by the End User. If leave type, personnel number and days sold were entered in Block 1, the system will display the following: Personnel Number as in Block 1. Name. Leave Package of this person. Days Calculated, Smallest of days as entered in Block 1 or leave balance. Max Days as specified in leave package. Value of Leave Sold as per Block 2. Balance Before number of days sold. Balance After number of days sold. Minimum number of Days on Hand. Note: The system links an employee to a leave package as per the service record that is valid at the date of query. 2. Query on a Single Employee - Days Sold not Specified by the End User. If only the leave type and personnel number were entered in Block 1 the system will display the following: Days Calculated, Smallest of maximum leave that may be sold by this employee as per package structure, or her / his leave balance. Maximum Days as specified in leave package. Value of Leave Sold, Value of days in D, calculated as above. 3. Query on a Group of Employees - Leave Package / Leave Type Specified and Days Sold Specified If leave type, leave package and days sold were entered in Block 1, the system will retrieve the value of leave if all employees with this leave package sold the specified number of days of this leave type, e.g. all administrative staff sell 15 days. 4. Query on a Group of Employees - Leave Package / Leave Type Specified and Days Sold not Specified. If only the leave type and leave package were entered in Block 1, the system will retrieve the value of leave if all employees with this leave package sold the maximum leave allowed by this leave type.

Personnel Number as in Block 1.
Name.
Leave Package of this person.
Days Calculated, Smallest of days as entered in Block 1 or leave balance.
Max Days as specified in leave package.
Value of Leave Sold as per Block 2.
Balance Before number of days sold.
Balance After number of days sold.
Minimum number of Days on Hand.

Note: The system links an employee to a leave package as per the service record that is valid at the date of query.

2. Query on a Single Employee - Days Sold not Specified by the End User.

If only the leave type and personnel number were entered in Block 1 the system will display the following:

Days Calculated, Smallest of maximum leave that may be sold by this employee as per package structure, or her / his leave balance.
Maximum Days as specified in leave package.
Value of Leave Sold, Value of days in D, calculated as above.

3. Query on a Group of Employees - Leave Package / Leave Type Specified and Days Sold Specified

If leave type, leave package and days sold were entered in Block 1, the system will retrieve the value of leave if all employees with this leave package sold the specified number of days of this leave type, e.g. all administrative staff sell 15 days.

4. Query on a Group of Employees - Leave Package / Leave Type Specified and Days Sold not Specified.

If only the leave type and leave package were entered in Block 1, the system will retrieve the value of leave if all employees with this leave package sold the maximum leave allowed by this leave type.
