Leave Types {PLCS-2}

 

This screen may be used to define the various types of leave and the applicable rules for each type.

This is a unique code for each leave type.

Name

A30

Typical names are:

Accumulative Leave (Normal).
Non-accumulative Leave (Normal).
Sick Leave: Full Pay.
Sick Leave: Half Pay.
Study Leave, etc.

Print on Payslip 

A1

The system defaults to (No).  Users of the ITS Payroll System may use this field to indicate whether the balance for a particular leave type should be printed on payslips.  Any number of leave types may be selected and the total of the balances will be printed on the payslips. 

Cycle Start Date

DD-MON-YYYY

Supply the start date from which credits must be calculated. The leave calculation date will use this date to calculate pro-rata leave only where the leave calculated method used is 1 "Monthly (1st of Month)" or 3 "Yearly (January 1st)".  

Allow Half Day

Yes/No

This indicator allows a person using the iEnabler to apply for 0.5 days leave for a specific leave type.  Otherwise applications are for full days.

Request Leave Reason

Yes/No

If set to (Y)es, the Leave Application in the Personnel iEnabler will request a Leave Reason Code {PLCS-4} from a person when applying for leave through the iEnabler.
(Note:  The Leave Reason Code will be an optional field in the iEnabler Leave Application, with prompt "Medical Condition").

Consecutive Days

N3

The iEnabler Leave Application will test Leave Applications against the value.

If the number of consecutive leave days in the calendar year for the leave type for the person exceeds the value the following message will be displayed:

"A Relevant Supporting Document is Required For This Application (Consecutive Days Exceeded)"

Example: For Sick Leave, if 5 consecutive days are taken a medical certificate is needed. 

Non Consecutive Days

The iEnabler Leave Application will test Leave Applications against the value.

If the number of leave days (non-consecutive) in the calendar year for the leave type for the person is more than or equal to the value, the following message will be displayed:

"A Relevant Supporting Document is Required For This Application (Non-consecutive Days Exceeded)".

Note: The validation will exclude previous Leave Applications or Leave Debits that required a Medical Certificate and that exceeded the number of Consecutive Days.

Example: For sick leave, if 5 non consecutive days are taken, a Medical Certificate is needed.   

Interval

N3

Time period in number of days.

The iEnabler Leave Application will use the value in this field (Interval) and the next field (Occasion) to test whether the number of times (Occasions) that the person takes leave within the period (Interval) is exceeded.

If exceeded, the following message will be displayed:

"A Relevant Supporting Document is Required For This Application (Occasions)".

Example: For sick leave, a person may only take sick leave once within a 30 day period without submitting a medical certificate.   

Occasion

Number of times that Leave is taken, See above for how it is used.

Add/Hold

Yes/No

(Y)es or (N)o.
All Leave Applications for Leave Types where this field is set to (Y)es will be placed "On hold".
The "Copy Web Leave Applications into Back-Office" {PLOP-8}  will ignore all Leave Applications that are "On hold". To remove the "Hold", use Maintain Leave Hold {P00004-7} in the Personnel iEnabler.

This may be used for Leave Types where the Approval Process and required supporting documentation differs from the process for "normal" leave types and is a mechanism to allow the Leave Administrator to prevent such Applications from being converted into Leave Debit Records before receiving the required documentation, for example:

  • Sick Leave, where a Medical Certificate is required.
  • Long Leave, where the Application is routed differently and where other documentation is required.

Colour

A15

The colour specified here will appear in the iEnabler Leave Calendar to identify the leave type.
Although a list of values is not available and that no validations are done when this field is captured, the colour must be one of the HTML standard colours for a web browser to interpret the colour.

Note that the both the colour names and the hex values of the colours are valid.

Date Leave Rules Changed

The date of the last change to any of the above rules will display here. 

Accumulation Date in iEnabler

If this field is entered,

  • the iEnabler show the balance as on this date and will display leave records where the End Date is after the date in this field
  • if the field is not entered, all leave records will display in the iEnabler.

May not be linked to leave packages from

DD-MON-YYYY

Enter the date from which a specific personnel leave type must be inactive and not be used.

Last End Date for Application

DD-MON-YYYY

Enter the latest date that leave must be taken by, in  the current year.

  • If the field is entered, the End Date of the iEnabler Leave Application must be less than or equal to this date.
  • If no date is entered, leave may be applied for future dates.
  • This date field is used to ensure leave for specific Leave Types is taken by a specific date, with the intention of the remaining leave balance being forfeited.

Please Note : This only applies to iEnabler Leave Applications {P00004-1} and not the Back Office Leave Maintenance {PLOP-1}

Include in Remchannel Leave Entitlement A1 Indicate if the Leave Entitlement for the Leave Type must be included when calculating the Remchannel Leave Entitlement. E.g. (Y/N/NULL)
Remchannel ED Code Rules are maintained on {FPRG-13} and will also be displayed in the results table on {FPRG-6}.

All Leave Applications for Leave Types where this field is set to (Y)es will require the user to upload supporting documents before submission.

Block 3: Calculating Monetary Leave Values

This screen may be used to enter various Earnings (or Deductions) that should be taken into consideration when monetary values, associated with the selling of leave or amounts paid out as part of severance packages are to be calculated.

Note:  The ITS Payroll System should be in operation before this functionality can be used.

This field indicates up to what date the Earning or Deduction should be taken into account when calculating the monetary value of leave sold.

This field will determine whether an Earning or Deduction should be taken into account to calculate the monetary value of leave sold.

This field will determine what percentage of the value of the existing Earning or Deduction in the salary transaction file will be taken into account when calculating the monetary value of leave sold.

Include for Severance Package

This field will determine whether an Earning or Deduction should be taken into account when calculating the monetary value of the leave component of a severance package.

Percentage Severance package

This field will determine what percentage of the monetary value of the existing Earning or Deduction in the salary transaction file will be taken into account when calculating the monetary value of the leave component of a severance package.
