Service Centres {SDSERC-4}


The purpose of this functionality is for the setting up of service centres/service centre detail/activities per year and postal code combinations as well as defining service centre and exam group combinations, as per individual client.


Fields in the option:

Block 1:  Service Centres

Service Centre A6  Unique user-defined code for service centres.
Service Centre Name A30 A description for the code created in the previous field.
Alternate Service Centre Name A30 The alternate description for the Service centre.

Block 2:  Service Centre Detail

Service Centre A6 The service centre code, on which the cursor was situated within the previous block, will automatically display the address information entered.
Physical Address A30x4 The physical address of the particular centre.  This address information will be printed when: postal address information is required, correspondence and report options are requested.
Contact N9 The personnel number of the contact person for the service centre.  The person linked here must have a personnel biographical record.  The <LIST> function displays all valid personnel.  This person will also be displayed as an agent when the enquiry option {SDENQ-1} is used and the particular service centre is also an agent centre.

Block 3:  Service Centre Activity Link

Within this block, users can define all combinations of activities offered at a centre for a set of postal codes.

Service Centre A6 The centre code, as defined within the first block of this option, must be used.  The <LIST> function displays all valid centre codes.
Year YYYY The academic year for which the records are created.
Activity Code A4 The activity that will be offered at the centre.  The <LIST> function displays all valid activities, as defined within {SDSERC-3}.
Block Code A2 The block code, for which the above mentioned combination is valid.  The <LIST> function displays all valid block codes.  The block code field is mandatory only for activities linked to activity types (C)lass, (T)utor and (M)entor, as defined within option {SDSERC-2} the block code field is mandatory.
Postal Code A8 The postal code, which will be serviced by the service centre for the activity / year combination.  If a range of postal codes is applicable for a year / centre / activity combination, a record for each postal code must be created. The <LIST> function displays all valid Postal Codes.
Qual. Code A6 This field is used for exceptions: if no value is entered for the field, all qualifications are included for the combination.  If an event indicator of (Q) or (B) is linked to the activities in option {SDSERC-3), the user will be allowed to enter a qualification code.  If a qualification code is entered, it will indicate that the activity for the qualification will only be offered at the particular centre for students with the corresponding postal code. The <LIST> function displays all valid Qualification Codes.
Subject Code A7 This field is used for exceptions, if no value is entered for this field, then all subjects are included for the combination.  If an event indicator of (S) or (B) is linked to the activities in option {SDSERC-3), the user will be allowed to enter a subject code. If a subject code is entered, it will indicate that the activity for the subject will only be offered at the particular centre for students with the corresponding postal code. The <LIST> function displays all valid Subject Codes.

Block 4:  Service Centres / Exam Groups

This information is used to allocate an exam centre and exam group to students and subjects at registration.

Academic Year YYYY  The academic year for which the records are created.
Exam Centre A6 Choose the Service Centre to which the subject must be linked on registration from the LOV. Only Services Centres linked to an Activity Code = "E" (i.e. Exam Centres) on block 3 are valid.
Exam Group A2 Enter the Exam Group valid for the Exam Centre / Year combination. An Exam Group can only be linked to one Exam Centre in a specific year, but more than one Exam Groups may be linked to the same Exam Centre for that year.
Subject A7 Choose the Subject valid for the Exam Centre / Exam Group combination from the LOV. If no Subject is linked, the Exam Centre is valid for all Subjects; if a Subject is linked to different Exam Centres, the Exam Group must be different and the subject will then only be valid for the Exam Centre / Exam Group combination.

  Note: As indicated,the qualification and subject fields are used only to indicate the exceptions and can only be entered according to the event indicator linked to the activity. If the event indicator (B) is linked to the activity, then both fields must be entered when exceptions occur.
