Maintain Student Validation Results - {SNAPPA-9}

This option is used to view and update the applicant's academic application validation results.  A result can be changed from 'N' (i.e. not successful) to 'Y' (i.e. successful). This action is controlled by data user restriction SVAL, as defined in {SMNT-5}; it will normally be the responsibility of a person with the authority to override the validation outcome. 


For the operation of this option, the following data must be defined:

  1. The 'SVAL' data restrictions, as set up in {SMNT-5}.
  2. The reason codes used when the outcome of an individual applicant's validation result is changed must be defined in {SCODE-33}
To view data in this screen an academic application must be created in the academic application program in {SNAPPA-1} / {SNAPPA-3}.  Then either the trial or finalvalidation buttons must be executed. The application process calls a special program that creates the validation result records for each applicant in respect of each application. The program is also used in the Graduation Subsystem and therefore all application validations are linked to system 'i' and the process 'APPL'.

Records cannot be created or deleted and users can only update the Success and Reason code field.

Student Number N9  Enter a student number to be queried. In query mode, a LOV displays student numbers in ascending student number order.
The program displays the student surname and first names in the format surname then first names.
Academic year YYYY Enter the academic year of application.
Block Code A2 Enter the academic period (block code) to be queried. In query mode, a LOV displays available block codes.

Choice N2 Enter the choice (preference) to be queried.
Qualification Code A6 Enter the qualification code to be queried. In query mode, a LOV displays the possible qualification codes to be used.

Offering Type A2 Enter the offering type to query. In query mode a LOV displays the possible offering type codes to use.

Search Results:

A student might fail a validation rule, but business procedures within the organization allow human interference based that cannot be implemented by computer systems. To accomplish this, only the "Success" and "Reason code" fields can be updated.  An authorized user can override the outcome of a validation rule for an individual student. The authorization is determined by the linking of the user to the data restriction code SVAL, as described in {SMNT-5}. If a user is linked to specific rules, only the outcome of those rules can be changed. If a user is not linked to any validation rule codes for data restriction SVAL, the user will not be able to update the Success field.

No records can be created or deleted in this block code. The records are created by package i23pkg.sql - this is called from the academic application program.

The user can move from one record to the next using mouse navigation.

Description
BLock Code A2 Displays the academic period (block code) of the application. The right-click of the mouse button displays the description of the block code.
Choice N2 Displays the choice (preference) for this application made by the applicant.
Rule Code
Displays the validation rule code. By clicking on the orange button displays the description of the rule code as well as the error message and student message linked to the rule code, as defined in {SNAPPA-8}

The validations have four possible outcomes:

'A' - Not applicable. This means that the rule does not apply to the particular application.
'D' - Data Problem. The function expects parameter values but they do not exist. Users must define the parameter values before the validation is done.
'N' - Not successful. The applicant did not comply with the requirements of the rule.
'Y' - Successful. The applicant complies with all the requirements of the rule.
Success Indicator A14 This field displays the outcome of the academic application validation. Four values will be used here, i.e.:
  • "N" - No the applicant did not pass this validation rule.
  • "Y" - Yes, the applicant passes this validation rule.
  • "D" - there is a data error in the set-up of the validation rule parameters and parameter values. This means that the database procedure expects, parameters values but none are defined in {SNAPPA-8}, Block 3 - Parameter Values.  
  • "A" - This application validation rule is not applicable to this applicant.
This field can be updated and is controlled by the user data restriction type SVAL. The user must be linked to the appropriate validation rule in {SMNT-5} to allow for updating of the value in this field.
  • If the user is not linked to any validation rule in {SMNT-5}, the message "Field is protected against update" will be displayed.
Reason for Change of Success Ind. A2 If the value in the "Success" field is changed, the user must enter a reason code, so as to indicate the reason why the value in the Success field was changed. Codes linked to indicator 'T'  will not be allowed as defined in {SCODE-33}.
Routing Entry Number N10 Display is used to see what validation route has been started for a validation. This is done via i25pkg.sql.
Approving / Overriding User A8 When the Success field is updated, the program will automatically update this field with the value of the User ID that is used to log into the system. The user cannot update this field.
Date / Time of change DD-MON-YYYY HHMMSS When the Success field is updated, the program will automatically update this field with the system date and time. The user cannot update this field.
