Maintain User Restrictions {SMNT-5}

This option allows access or restrictions to various parts of the system to be limited on the basis of a faculty, departmental or campus.


This would, for instance, allow each faculty to insert and update only its part of the academic structure, marks notes etc.
This facility, combined with the normal access control with updating and “read only” privileges {USERS-2}, provides for powerful and flexible control in respect of access and updating.
For certain elements, user restrictions can be done either at faculty or departmental level, depending on the value to which validation “RV” is set in option {SMNT-1}.

The following types are currently available at this option:

This restriction will be used by the TVET Colleges.  Users linked to this restriction will be able to override a students yearmark where the 'Full Period Mark Validity Interval' has expired.		 Access

GVAL Graduation Validation Overrides

Users not linked here will have no access. Users must be linked to sequences

This code is used to give access to limited users to override the calculated graduation validation result of an applicant. This access type is not dependent on faculty/department/campus.

The access type makes use of restriction rules where the appropriate validation rules that a user can override is specified as text values linked to sequences in block 3 of this program. Validation overrides are done in {STGRDOP-8}.

It is thus possible to allow the grouping of related rules in specific sequences and link the responsible staff to a start and end sequence. This will limit the person that can change the outcome of a validation to the validation rules linked to the sequences between the start and end sequence.

This code is used to restrict the maintenance of the academic structure {SACAD-1} on a faculty or departmental basis.  When a user has been linked to this type and a given faculty or department in Block 2 below, insert and update of records under options {SACADO-1, 10 and 17} will be limited as follows:
When a query is executed the system will display all records, but users may insert, update or delete only information to which they have access.
  • In {SACADO-1}, only records in respect of qualifications linked to the given faculty or departments in Block 2 will be accessible.
    • No control is possible in respect of the records in the tab "Approved Qualification", as formal qualifications are not linked to faculties or departments
  • In {SACADO-10} only records in respect of subjects linked to the given faculty or department will be accessible.
  • In {SACADO-17} (curriculum), any subject can be linked to a qualification of the given faculty or department.
Code SAS also limits access to option {FSAM-4} in the student debtors system.  The functionality is more fully discussed in the option's manual.

Option {SCOUR-1},  “Academic Structure - Short Courses” is also subject to restriction SAS. In this option Blocks 2 to 5 and 10 are subject to faculty/department control on qualifications and Blocks 6 to 9 are subject to faculty/department control on subjects. 		Restriction

This code is used to restrict the biographical detail of a student at faculty or department level.

On insert of a new biographical record, no check on user restriction is done. 

When an existing record is queried, the system checks on either the qualification enrollment record or the applications record whether a record exists for the current calendar year. If the record exists, control is done on the faculty for any qualification, which may exist for the calendar year.

If no record is found on the qualification enrollment, control is done on any qualification for which the student may have applied in the current calendar year.

 When a query is executed the system will display all records, but users may insert, update or delete only information to which they have access.

This code is used to restrict the cancellation options {SREGC-3/4} and {SDREGC‑3/4} for subject and qualification cancellations respectively.

When a query is executed the system will display all records, but users may insert, update or delete only information to which they have access.
  • In respect of “Cancel Enrollment” {SREGC-3}, {SDREGC-3}, and “Change Qualification” {SREGC-1}, {SDREGC-1}, a user linked to a given faculty or department will be able to cancel/change enrollments in respect of qualifications linked to the given faculty or department under {SACAD-1b2}.  This could imply that subjects linked to other faculties/schools are also cancelled in the process.  The “Change Qualification” option is restricted on Block 1 only.
  • In respect of Subject Cancellations {SREGC-4}, {SDREGC-4} a user linked to a given faculty or department will be able to cancel any subject linked to that faculty/school under option {SACAD‑1b6}.
