Validation / Report Choice {SMNT-1} 


This option handles two aspects: the control of a number of validations in the system and the control of the printouts that can be produced automatically during registration.

The available functions are programmed into the system.  The user cannot add or delete records, but merely activate or deactivate them.  The Sub-system displayed on the screen is merely there to assist the user in finding the validations applicable to specific Sub-systems.  Any changes to the on / off switches of the validations are written to a log file.  The log file can be viewed using option {SMNTL-5}.

Tab 2:  Report Choice

In this option the user selects the printout to be produced when the registration of a student is completed.  This happens under options {SREGAR-1}, TAB - Additional Generation Options, {SREGAR-2}, TAB - Additional Generation Options, {SREGAR-3}, TAB - Generate Registration Printouts, {SCOUR-3}, TAB Registration Printouts and {SCOUR-5}, TAB - Generate Registration Printout.   The user can select any one of the following four printouts:

Statement for One Student This is the same report as produced under option {FSAOR2-6}; refer to manual “Student Debtor Sub-system” for an example.
Proof of Registration This is the same printout as produced under {SREGR-22}; refer to manual “Registration Sub-system” for an example.
Student Proof of Registration and ID  An example is given below:

The example report is printed full scale and it is suggested that suitable pre-printed paper be used for the actual production of the printouts. This pre-printed paper can include the letterhead of the institution as well as the institution name and logo in the card area.  Space is left for the inclusion of a photo on the card.  The card can be cut out and laminated. 

Similar ID Cards can be produced on an ad-hoc basis for both students and staff, under menu {CARD} in the General System (see User Manual “General Support System”).

Please note that the example of the barcode does not reflect the actual size of the barcode and should therefore not be used as a measurement for development of preprinted stationery. To print the barcode, a specific cartridge with escape codes, thus specific hardware, is needed to print this report.
Alternate Statement for One Student This statement will only print the subjects for the current registration.
Local Software When a local software program is to be used then this option should be chosen.

The validations to be used are defined in this section. A validation may have different codes for the contact, distance education and Student iEnabler systems and will be specified:

AH Residence Application on Academic Application Application The system will not allow the Residence Application for any students unless they were entered through option {SNAPPA-1}, or admitted to the institution through option {SNAPPA-3}.

 Application If the validation is switched on the tab sequence of  the cursor is set to Year, Qualification and Block code. Otherwise the tab sequence is Year, Block code and Qualification code. The block code can be updated and changes are written to the log file and can be viewed in block 4 of this option.

Registration

AJ Validation is exclusive to change the qualification process on {SREGC-1).

 

1} It works in conjunction with 'AA' and 'AF' validations and is executed only when both 'AA' and 'AF' are set to 'Y'.

  •  If set to 'Y', active and CANCELLED enrolments are considered for 'AF' validation.
  • If set to 'N', only active enrolments are considered for 'AF' validation {SREGC-1}.
2.  When all three validations set to 'Y' (AA, AF and AJ) the student can register without approved application.  At least one enrolment in academic year and block must exists regardless if the enrolment is active or cancelled.

Validation 'AJ' is exclusive to change the qualification process on {SREGC-1}.
AM Check Assessment Marks on Group Study Records If this validation is switched on, the system will check that the weight of the assessments with marks {SSTUD3-7} TAB, Assessment Mark Criteria, are identical between the old and the new group code and if not, will give a warning message if so.
 
The registration program in the following options use the validation:

Update Allocation To Groups {SREGC-6}

AO Allow Overlapping Registration for Block Code and Qualification Registration If the validation is switched on, Overlapping Registration will be allowed.
If the validation is off, No Overlapping Registration will be allowed.

AR  Academic Registration on Residence Registration Registration If this validation is switched on, no residence registration {SREG-4} will be permitted unless the student has been registered academically.
 
 
AS Academic Structure Logfile Academic Structure If this validation is switched on, any changes to the Academic Structure will be written to a log file, that can be printed via option {SMNTL-5}. 
The validation is used by the programs, which maintain the Academic Structure in the following options:

AU Use Mark Type Information when calculating admission and final marks and results Study Records This validation's value of Yes or No is used when the exam admission and  final mark and result calculation programs are called.

In these programs there is a prompt "Use Mark Type Information". When these calculation programs are called from other programs the validation value defaults into the prompt mentioned above. In these cases, the user does not provide the values to the prompts.

CO COOP System Users Co op This validation indicates to the system that the Client uses the Co-operative Education system. CR Create Co-op Without Academic Registration

Co op On {COOP-4}:
  • If "CR" is set to Yes, the program will allow the Placement of a student for a qualification without being registered.
  • If "CR" is set to No, the validation will check if  the student is registered for the Approved Qualification, Year and Block, and only allow the registered Qualification to be "Placed" for the student.
On {COOP-5}:
The valid In-service Subjects will be displayed according to the chosen Qualification in  {COOP-4}.
  • if "CR" is set to Yes, a Co-op record for an In-service Training Subject can be created  even though not it is not  registered for.
  • if "CR" is set to No, the student must be registered for the In-service Subject before the Placement for the Subject can be entered.

Note:
A Mark and/or Result Code can only be entered on {COOP-5} TAB - "Student In-service Projects", after the student has been registered for the in-service subjects.
If the student is not registered yet, an error message will be displayed.

CS Sub-minimum Check

The system will check the pre- and co-requisites of every subject during registration.  This validation can, however, be switched off on screen if desired.

EP Popup for free text on e-mail Web registration A final validation is done in the student iEnabler registration program on "I accept this registration".

If any errors are found, a page with these errors is displayed. Included on this page is a button that enables the student to send the errors to administrative staff.

If validation 'EP' is set to Yes, the student will be presented with a popup box where additional text can be entered. This text will be included in the email sent to the institution.
 
This validation is used in the Student iEnabler Registration program.
ET Examination Timetable Subject Registration The system checks during registration for examination timetable clashes in respect of the combination of subjects for which a student enrols.  This validation can be switched off for any student if desired.
