Mark Type / Assessment Marks Calculation Criteria {SSTUD3-7}

This option defines Mark Type and Assessment Mark criteria for a particular subject.


Criteria is maintained per year and can be copied from one year to the next by using  {SACAD-3} Copy Academic Structure.


Criteria is defined for a combination of Year, Subject, Offering Type, Group Type and Group Value that must exist  in {SACADO-13} TAB - Subjects Group and Lectures.

There are several interdependencies between the different panel boxes that must be noted:

Two single options are also available that applies the exact same rules as for {SSTUD3-7}:

Changes to criteria are written to a log file that can be printed using {SMNTL-6}. The User Code and the program name are also written to the log file.


When using the Duplicate Button and the offering type data for example is not setup correctly on the Academic Structure the user will receive an error message and will not be able to create a duplicate record.  Please click on the Cancel button to cancel out the duplication action.  If not the user will receive a message 'You must enter a value'.  This is because the system expect values to be entered for the duplication.  

Panel Box 1:  Mark Type Criteria

In the first panel box, criteria is defined for the Year, Subject, Offering Type, Group Type, Group Value and Mark Type.

If a new record is created in this panel box, the program will create children records in panel boxes 2, 3 and 4 using the data from this record in preference to the data in the default criteria. This is applicable to the number of assessments and the ‘Competence’ indicator.  
If the user indicates that the Mark Type should have more assessments than are specified in the default criteria, the program will issue a warning that additional assessment records must be created manually.

Academic Year YYYY Enter the academic year for which the criteria are valid. The Academic Structure must be defined for this year.
Subject A7 Enter the Subject Code for which these criteria will be valid.
Offering Type A2 Enter the Offering Type. The Offering Type must be linked to the subject for the year.
Group Type A1 Enter the Group Type that is defined for the Year, Subject and Offering Type entered above.
Group Value A2 Enter a Group value for the Year, Subject, Offering Type and Group Type entered above.
Mark Type A2 Only Mark Type where the "Mark Type Used" in {SCODE-10} is indicated as 'Y', 'P' or 'I'.
  • P - For this Mark Type, assessment marks can be entered and Mark Type marks calculated.  However the Mark Type mark will not be used in the calculation of the Full Period mark. 
  • Y - For this Mark Type, Assessment marks can be entered, Mark Type marks calculated and the Mark Type mark will be used in the calculation of the Full Period mark.
  • I - Incidental Learning.  Do not use in any calculations.
Weight N2.2 Indicate the weighting of this combination in calculating the Full Period Mark.
Nr of Assm N2 Indicate the number of assessments that must be defined for this combination.
Best nr of Assm N2 Enter the number of best assessments to use to calculate the Mark Type mark:
  • If a value is entered here, no weights will be used and only the number of best assessments indicated will be used in the calculation.
  • If the value is 3 and the student only completed 2 assessments, he / she will be penalised as the program that calculates Mark Type marks will still divide the total by 3.
  • See the influence on the setting of the next field when the best number of assessments is used.
Check Sub-Min A1 Enter a ‘Y’ if the program to calculate Mark Type marks must still test all sub-minimums defined for any of the assessments linked to the Mark Type in the case where the best numbers of assessments are used. Example:
  1. The total number of assessments for the Mark Type is 5.
  2. The best of 3 assessments must be used in calculating the Mark Type mark.
  3. Assessments 1 and 5 each have a sub-minimum of 45.
  4. A student completed assessments 2, 3, 4. The calculate program will happily use these three marks as the best 3 and calculate a Mark Type mark.
  5. If the SubMin field = ‘Y’, the program that calculates the Mark Type result will allocate the ‘Fail Sub minimum’ result as defined in {SSTUD3-1} TAB - Default Examination Admission and Final Result Criteria because the student did not complete assessments 1 and 5 and thus did not achieve the required sub-minimum.
Type of Evaluation A1 This field is not updateable when 'Mark Type Result Criteria' and 'Assessment Mark Criteria' exists.  The user must either delete the record with the associated criteria or create a new record.  If the user tried to update and existing 'Type of Evaluation' he / she will receive the following error message:  'You cannot change evaluation method when Assessment criteria exist'.

This field will indicate how this Mark Type should be evaluated. The following types are available:
  • (C)ompetency based evaluation. 
    • No marks can be entered
    • No measure of "performance" is recorded.
    • only the two results selected in {SSTUD3-1} for "Result for Competence" and "Result for not yet Competent" can be used to enter against a student.
    • If Subject is Competency based, the all Mark Types should also be Competency based
  • (O)bjective evaluation
    • The evaluation is based on the entering of marks, calculating of marks and results
    • If Subject is Objective Evaluation, the Mark Types can have any evaluation method.
    • This methods gives an indication of performance
  • (P)rofessional Judgment Evaluation
    • When the Subject is set as Professional Judgment on {SACADO-10} and the 'Standard Type' is NULL
      • the 'Type of Evaluation' can only be Competency or Professional Judgment.
    • When the Subject is set as Professional Judgment on {SACADO-10} and the 'Standard Type' is not NULL
      • the 'Type of Evaluation' can only be Professional Judgment.
    • No marks are entered or calculated
    • A Rubric code is required
    • Only results that are linked to the Rubric code can be linked to the Mark Type
    • The method gives a measure of performance.
If the Subject's Type of Evaluation on {SACADO-10} is:
  • 'P', only 'P' and 'C' are allowed for the Mark Type if the 'Standard Type' is NULL.
  • 'P', only 'P' is allowed when the 'Standard Type' is not NULL.
  • 'C' then only 'C' is allowed for the Mark Type
  • 'O' all values are allowed.
The Rubric code on the assessments can differ from the Rubric code on the Mark Type.
Default Rubric A4 Enter a Rubric code that is defined in {SSTUD3-26}. This rubric code will be copied to the assessments and the result codes linked to the Rubric of the Mark Type / Assessments will be used to create the Mark Type and Assessment result criteria.
A Rubric code is only applicable when the method of evaluation is (P)rofessional Judgment evaluation.
Result Codes of the Rubrics on {SSTUD3-26} should not include any of the results of Result for Competence, or Result for not yet Competent on {SSTUD3-1} Tab - Default Examination Admission and Final Result Criteria


Panel Box 2:  Mark Type Result Criteria

No record can be created here without a corresponding record for the Mark Type in the previous panel box.

A record cannot be deleted from this option if a corresponding student Mark Type record with marks exists in {SSTUD1-7}.

If the Type of Evaluation for the Mark Type is "C"-competency basis, no records will be allowed here as the Competency result codes are defined in {SSTUD3-1} TAB - Default Examination Admission and Final Result Criteria.

Result Codes of the Rubrics on {SSTUD3-26} should not include any of the results of Result for Competence or Result for not yet Competent on {SSTUD3-1} Tab - Default Examination Admission and Final Result Criteria

If the Type of Evaluation of the Mark Type is:
  • 'P' - Professional Judgement only result codes linked to the Rubric Code on {SSTUD3-26} that is active, will be allowed.
  • 'O' - Objective Evaluation any result that is active on {SCODE-23} will be allowed.
  • C - Competence evaluation. If the 'Type of Evaluation' on {SACADO-10} then existing result codes can be updated, but the creation of new records are not allowed.

Results for Competence Mark Types will default as follows:

  • The result on the System Operational Definition {SMNT-12} "NT - Not Attempted Result" for Subsystem "SR"
  • The result for Not yet Competent in the Default Criteria for Calculation {SSTUD3-1}
  • The result for Competence in the Default Criteria for Calculation {SSTUD3-1}
Low % A3.2 Enter the low mark limit for this Result Code. The minimum value that can be entered is 0 (zero). Field will not be mandatory if the Type of Evaluation for the Mark Type is 'P' - Professional Judgement.
High % A3.2 Enter the high mark limit for this Result Code. The maximum value that can be entered is 100. Field will not be mandatory if the Type of Evaluation for the Mark Type is 'P' - Professional Judgement.

Panel Box 3:  Assessment Mark Criteria

Assessment Mark Criteria can not be created here without a corresponding value in Mark type criteria (panel box 1).

The number of marks that can be entered for a specific Academic year, Subject, Offering type, Group type, Group value and Mark type is limited by the Number of Assessments specified on the Mark type criteria.  However, the numbering of assessments need not be chronological.


A record cannot be deleted from this option if a corresponding student assessment mark record exists in {SSTUD1-2}.

Deletion of Assessment Mark Criteria will also result in deletion of corresponding Assesment Mark Results criteria.

Results for Competence Mark Types will default in panel box 4, the possible results would be:

Assm Nr N2 Enter the assessment number for the combination entered above. This number cannot be larger than the number of assessments defined for the combination in panel box 1.
Weight N2.2 Enter the weight that this assessment will contribute towards computing the Mark Type mark. If no weight is entered, the assessment will be ignored in the calculation of the Mark Type mark. A weight of 0 (zero) will have a similar effect, but the Mark Type calculate program will include the assessment. This will have no negative effect on the student’s Mark Type mark:
  • If a student is required to obtain a sub-minimum in any specific assessment before he / she is allowed to write an examination, the sub-minimum for each assessment can be entered in the next field. Should a student fail any one of the sub-minimums entered for an assessment and the calculation for examination admission is carried out, the student will not be admitted to an exam on {SSTUD4-2}.
Sub Min N2 Enter a sub-minimum for this assessment.
Type of Evaluation A1 This field will indicate how this Mark Type should be evaluated. The following types are available:
  • (C)ompetency based evaluation. 
    • No marks can be entered
    • No measure of "performance" is recorded.
    • only the two results selected in {SSTUD3-1} for "Result for Competence" and "Result for not yet Competent" can be used to enter against a student.
    • If Subject is Competency based, the all Mark Types should also be Competency based
  • (O)bjective evaluation
    • The evaluation is based on the entering of marks, calculating of marks and results
    • If Subject is Objective Evaluation, the Mark Types can have any evaluation method.
    • This methods gives an indication of performance
  • (P)rofessional Judgment Evaluation
    • When the Subject is set as Professional Judgment on {SACADO-10} and the 'Standard Type' is NULL
      • the 'Type of Evaluation' can only be Competency or Professional Judgment.
    • When the Subject is set as Professional Judgment on {SACADO-10} and the 'Standard Type' is not NULL
      • the 'Type of Evaluation' can only be Professional Judgment.
    • No marks are entered or calculated
    • A Rubric code is required
    • Only results that are linked to the Rubric code can be linked to the Mark Type
    • The method gives a measure of performance.
If the Subject's Type of Evaluation on {SACADO-10} is:
  • 'P', only 'P' and 'C' are allowed for the Mark Type if the 'Standard Type' is NULL.
  • 'P', only 'P' is allowed when the 'Standard Type' is not NULL.
  • 'C' then only 'C' is allowed for the Mark Type
  • 'O' all values are allowed.
Compulsory A1 Indicate if this assessment is compulsory.
  • If the student does not obtain a ‘pass’ result for this assessment, the program calculating the Mark Type will allocate the ‘Fail Compulsory Assessment’ result as defined in {SSTUD3-1} TAB - Default Examination Admission and Final Result Criteria to the Mark Type. It will allocate the same result to the subject.
  • If the student does submit this assessment, the program calculating the Mark Type will allocate the ‘Result for Compulsory Assessment not Submitted’ result as defined in {SSTUD3-1} TAB - Default Examination Admission and Final Result Criteria to the Mark Type. It will allocate the same result to the subject.
Print Y / N A1 An ARS will not be printed for certain subject / offering type combinations because these assignments will be submitted via the Internet. If   "Print ARS Y / N" = 'Y' or NULL, the ARS will be printed.
Rubric A4 Enter a Rubric code that is defined in {SSTUD3-26}. This rubric code be used to create the Assessment result criteria.
A Rubric code is only applicable when the method of evaluation is (P)rofessional Judgment evaluation.
Item N8 Item code for the Assessment as set up on {SDGUIM-1} for the subject.
  • The item should not be linked as a substitute item on {SSTUD3-13}.

Curriculum Element Code N8 External Curriculum Code as set up on {SACAD-26}, If a Element Code of level 3 is entered the description of the code and all the upper levels will display.
Display iEnabler A1 This field will show only when SOD SI/SR is set to 'Y' and it is used on {S00004-21} Assessment Status. The user can determine which assessment information should show on the iEnabler by setting this field to 'Y' or NULL.
Learning Outcome A2000 Enter the Outcome of the Assessment. When the button "Learning Outcome" is clicked the Subject Specific Outcome screen {SACAD-17} will appear, click on the copy field of a few outcomes to copy all these outcomes to the Assessment. Click on 'return' to go back to Assessment Mark Criteria and 'Save'.

    Panel box 1 - Mark Type Criteria:

  • Checks that a record with criteria exists for all active subjects.
  • Checks that all Group type records defined in  {SACADO-13} -  Class Group and Lectures have a criteria record that corresponds with the default Mark Type criteria.
  • Checks that the Competence indicator between the Mark Type and subject is consistent.
  • If the Type of Evaluation is 'P' and different rubric codes exist on the Assessments

    Panel Box 2 - Mark Type Result Criteria:

  • If Type of Evaluation is "O"
    • Checks that all active subjects have a record in this criteria table.
    • Checks that each Result Code is defined in {SCODE-23} and that it is active.
    • Checks that the criteria cover the range from 0 to 100.
    • Checks that the low and high ranges are consistent.
  • If Type of Evaluation is "P"
    • Checks that all result codes that is linked for the Mark Type is valid and active on {SSTUD3-26}.
    • Checks that all result codes that is valid and active on {SSTUD3-26} for the Rubric exist for the Mark Type.

    Panel box 3 – Assessment Mark Criteria:

  • Checks that a record exists for all active subjects.
  • Checks that a record with criteria exists for all active subjects.
  • Checks that all Group Type records defined in {SACADO-13} - Class Group and Lectures have a criteria record that corresponds with the default Mark Type criteria.
  • Checks that the Competence indicator between the Mark Type and assessment number is consistent.
  • Checks that the correct number of assessments exist as defined for the Group Type, Group Value and Mark Type in panel box 1.
  • If the Type of Evaluation is 'P' check that the Rubric Code is still active on {SSTUD3-26}

    Panel Box 4 – Assessment Result Criteria:

  • If Type of Evaluation is "O"
    • Checks that all active subjects have a record in this criteria table.
    • Checks that each Result Code is defined in {SCODE-23} and that it is active.
    • Checks that the criteria cover the range from 0 to 100.
    • Checks that the low and high ranges are consistent.
  • If Type of Evaluation is "P"
    • Checks that all result codes that is linked for the Assessment is valid and active on {SSTUD3-26}.
    • Checks that all result codes that is valid and active on {SSTUD3-26} for the Rubric exist for the Assessment.

    * Please Note:
  • The Assessment Mark weights {SSTUD3-7} TAB - Assessment Mark Criteria  need not add up to the Mark Type weight to which the assessments are linked accept when validation TW is set to 'Y'.
  • The Mark Type weights {SSTUD3-7}TAB - Mark Type Criteria need not add up to the to the Full Period Mark weight of the subject accept when validation TW is set to 'Y'.
