Student Referrals / Placements {COOP-4}


This option facilitates the referrals to and placements at companies of those students engaged in in-service training for a particular Year, Block, Workstation Type and Approved Qualification ID. Interview data and Textual data relating to the student can also be entered for the student.

The following check can be done by the system, provided that the validations have been set to (Y)es in option {SMNT-1b1}:


Fields in the option:

Block 1:  Student Referrals / Placements

Description
Student Number N9  Enter the number of the student who has been referred to an employer for in-service training. The title, initials and surname will display on entering the student number.
Year N4 The applicable year for the referral or placement must be entered here.
Block Code A2 Enter the Block Code for which the referral / placement is applicable.
Session N3 The program will generate a sequence here that will be used in {COOP-5} in order to keep all the records together for this referral or placement together. Therefore the applicable session number for the placement will default to this field.
Employer Code A5 Enter the employer code for which the placement / referral is applicable. The <LIST> function is available.
The name will be displayed.
Approved Qualification ID A2 The Approved Qualification ID indicates the area of study of the referral / placement. The <LIST> function is available.
The name will be displayed.
Qualification A6 The Qualification Code has to be completed. This is to indicate the area of study of the applicable student. The <LIST> function is available and will display the qualification code(s) and description(s), as set-up in {COOP-3b5} for the specified Employer Code. The name will be displayed.

The use of validation "CR - Create Co-op Without Academic Registration" will influence for which Qualifications a placement can be done here.
Post Type A4 The post type available at the employer. The <LIST> function will display the post type linked to the employer at {COOP-3b4}.
The name will be displayed.
Type of Workstation A4 The Type of workstation needed for this student. The program will validate that the employer offers a workstation of this type, Approved Qualification ID, Year and Block. A <LIST> function will be available and the description will be displayed. The Topic Code and Industry Category will be entered automatically when the <LIST> function is used in this field.
The name will be displayed.
Active field will display Y, if the Type of Workstation is valid and active for???
Topic Code A4 The Topic of the Workstation will be displayed or can be entered according to the workstation offered for the Employer, Year, Block and Approved Qualification ID. The <LIST> function will be available and the description will be displayed.

Industry Category A4 The Industry Category will be displayed or can be entered according to the workstation offered for the Employer, Year, Block and Approved Qualification ID. A <LIST> function will be available.
The name will be displayed. 
Status A1 Available values are (P)laced, (R)eferred, (C)ancelled or (N)ot Placed.
  1. When a student is placed (status 'Placed') at a company, and there is another record already placed for this year and block, the following message will be displayed.  "Warning - Student Already Placed For This Year / Block  Combination"
  2. This option will validate that the students placed at a company do not exceed the number of work stations offered by the company for: the year, Block, type of Work station and Approved Qualification ID.
  3. When the record of a student is cancelled in this option, with the status 'Cancelled', the corresponding co-op. record of the student for the same year, Block and employer code will also be cancelled.
Note:  A student must have a "Placed" status here, before any "Valid Placement" records will be displayed on the <LIST> function of {COOP-5}.
"WP" - Placing - Workstations, Post Test if post is valid and workstations are all occupied when students placed, the program will give a fatal error, if the validation is set to 'Y' or a warning, if the validation is set to 'N'.
Remarks A160 Any remarks can be entered here about the Referral or Placement of the Student for this workstation.
Referred Date DD-MON-YYYY Date of referral. The field will be mandatory if the status is 'Referred'.
Referral Cancellation Date DD-MON-YYYY Date on which the referral is cancelled. The field will be mandatory if the status is 'Cancelled'. A cancellation reason "Reason not Placed" has to be entered, if the status is 'Not Placed'.
Placed Date DD-MON-YYYY Date of placement. The field will be mandatory if the status is 'Placed'.

"WP" - Placing - Workstations, Post Test if post is valid and workstations are all occupied when students placed, the program will give a fatal error, if the validation is set to 'Y' or a warning, if the validation is set to 'N'.
Placement Cancellation Date DD-MON-YYYY Date on which the placement is cancelled. The field will be mandatory if the status is 'Cancelled'. A cancellation reason "Reason not Placed" has to entered if the status is 'Cancelled'.
Reason not Placed A1 The reason why a student is not placed at a company, is defined in the option {SCODE-25} - "Maintain Cancellation Reasons". The <LIST> function will display the codes that are available and the description will be displayed: Status "Not Placed"
Work Pattern A2 Enter the Work / Shift pattern that the student will be working, asdefined in {COOPC-27}.
WIL Guide Issue Y/N A1 Indicate whether or not  a WIL guide should be produced, a WIL guide is " full detail regarding students Coop detail."

Block 2:  Interview Detail

The Student Number, Title, Initials, Surname, Employer, Year and Block will display from the first block.

Venue: Building N4 Enter the Building code here. The <LIST> function can be used to enter the Building, Floor and Room together.
The description of the Building will be displayed.
Floor N4 Enter the Floor number here. The <LIST> function can be used to view valid values for the Building.
Room A7 Enter the Room number here. The <LIST> function can be used to view valid values for the Building and Floor.
Remarks 5 x A65 Five lines of Remarks can be entered for the Interview. 
Reason for Unsuccessful Appointment A200 The reason why the Appointment was not successful can be entered here.
