Create Bundles {TASKS1-1}


As assignments are received during the academic period, they will be grouped into bundles and sent out to markers.  After an examination, the exam papers are also grouped and sent out for marking.  This option is the first step in the process of the management of assignments / exam papers.  This option has the facility to print a bundle list immediately after it has been created.  A bundle is created for a Year, Block or Exam Month, Subject, Assignment and Group- and Mark Type or Paper Number and Exam Type combination.

Description
Bundle Number N5  The system allocates sequential bundle numbers when this Block is <COMMIT>ted.  This number is printed on the bundle list and is also used to recall the details of a bundle when the marks are entered.  For the combination Year / Block or Month, the bundle number will start with 1.
Sequence N5 The system calculates the number of bundles that were previously created for this subject and assignment or paper for the Year / Block or Month combination and allocates sequential numbers.  This number is useful to check on the progress of marking a particular subject.
Calendar Year YYYY The calendar year for which this bundle is created.
Block / Examination Month A2 If a bundle for assignments is created the block code is required. For exam paper bundles, the exam month must be entered.  Validation IB- Ignore Block Code on Bundles” is applicable on assignment bundles; if the validation “IB” is set to “Y” in option {SMNT-1}, TAB - Validation Control then the block code linked to the bundle and the block code of the student captured in the second block do not need to be the same.  If the validation is set to  “N”,  the option will not allow the linking of a student if the student’s block is not the same as the block code linked to the bundle.
Subject Code A7 The subject code for which the bundle is created.  The code must exist on the academic structure for the year.
OT A2 The Offering Type field is not mandatory and can be entered when bundles are created per Offering Type.  If an Offering Type is entered, only students with the same Offering Type can be linked to the bundle.  The <LIST> function displays valid Offering Types for the subjects.
Campus A2 The Campus field is not mandatory and can be entered when bundles are created per Campus Code.  If a Campus Code is entered, only students with offering types linked to the Campus option {GCS-5}, can be included on the bundle.  The <LIST> function displays valid Campus Codes.
Date Out DD-MON-YYYY The date the bundle was sent out for marking to the marker.  If the bundle is sent out immediately after it is created then the Date Out can be entered.  If not, the field can be left blank until the bundle is sent out. If the validation 'Print book-out date, BD’ is 'Y' on {SMNT-1} then populate the 'Date Out' field with system date when the bundle header is created.

Calculated Date DD-MON-YYYY As soon as the Date Out is entered, this date is calculated according to the number of days that must be added to the Date Out as was specified in {SMNT-1b2} for the field Number Of Days To Determine Date Calculated.  This date will be the date by which the bundle is due back after marking.
Date Created DD-MON-YYYY The system will enter a default date that cannot be changed by the user.
Date In DD-MON-YYYY For this option the date need not to be entered as it will be entered when {TASKS1-2} is used, to give an indication of the date on which the bundle was received back or when the marks have been entered.
Personnel Number  N9 The person who will be responsible for the marking of the bundle.  The <LIST> function displays all valid personnel numbers.  The person linked to the bundle can be the same as the lecturer.  If the person for marking is not known at the stage when the bundle is sent out, the marker’s information can be left out and entered when the bundle is returned.  At this stage, if a person is linked as a marker, the option will take into account the number of bundles sent out to the person and not yet returned.  This information is evaluated against the default as defined on {SMNT-1b2} for the field Maximum Number Of Bundles For a Marker.  If the person exceeds the maximum value the option will not allow the person to be linked to the bundle as a marker.
Activity Code A4 Enter the activity for the bundle. Allow activity codes as created on {SDSERC-3} where the event indicator is either linked to “Subject” or “Both”. The description is also displayed.
Update Mark A1 The update status linked to activity code in option {SDSERC-3). If Yes, the students' assessment marks will be updated.  This is a display field only.
Lecturer Number N9 The personnel number of the individual who is responsible for the control of the marking of this subject.  The personnel number and name of the primary person as defined in option {SACADO-10} - Subject Information of the academic structure will be displayed with the <LIST> function, but can be changed by the user if required.
Language  A1 Should the bundles be created in order of language preference, the preferred language indicator (E)nglish or (A)lternate must be indicated.  The system will not allow the student in the bundle if the students preferred language differs from the indication given for this field.  If the field is left blank, no test against preferred language will be done.
Cancelled Date DD-MON-YYYY This field is used to enter a cancellation date for a bundle.
Cancel Reason A2 This field is used to enter the cancellation reason. Both the cancellation date and reason must be entered. All students linked to the bundle on block 2, for which no cancellation date exist, will be populated with the same date and reason. Only values linked to indicator 'T', as defined on {SCODE-33} will be allowed.

Indicator A1 The user must indicate the type of bundle that is created (T) will be for an assignment bundle and (E) for an examination paper bundle.
Group Type A1 For assignments, enter the Group Type defined for the year and subject in {SACAD-14b11} “Subject Groups and Lecturers”.
For exams, the program will default to the value “Exam Group” and the user will not be able to change this value.
Mark type A2 For assignments, enter the appropriate mark type for the year, subject and group type entered above. This is defined as criteria in {SSTUD3-7}.  Only Mark Type values can be used where the Mark Type used in {SCODE-10} is indicated as a 'Y' or a 'P'. Please read the indicated manual for an explanation of the 'Y' and 'P' values.
For exams the program defaults this value to “EM” and the user cannot change this value.
Exam Type A1
  • For assignments, this field stays blank (NULL) and cannot be changed by the user.
  • For exams, enter the appropriate exam type as defined for the year and subject in {SSTUD3-2b2}.
Assignment / Paper Number N2 The assignment or examination paper for which the bundle is created.  The system allows a user to only enter markSSTUD3-7}.  When exam paper bundles are created, the program will check that the Paper Number is valid for the Year, Subject and Exam Type as defined in option {SSTUD3-2b2}.
Method of Evaluation for  Subject A1 Indicates the Method of Evaluation for the subject as on {SACADO-10} - Subject Information.
Method of Evaluation for this Mark Type / Group Type combination A1 Indicates the Method of Evaluation for the Mark Type {SSTUD3-7b1}.
Method of Evaluation for this Mark Type / Group Type / Mark Number Combination  A1 Indicates the Method of Evaluation for the Assignment {SSTUD3-7b3}.

Block 2:  Students in this Bundle

Block 2 is used to link students to the bundle. The maximum number of students that can be linked to a bundle is set in option {SMNT-1b2}.  If no maximum is applicable, the field must be left blank. 

When a bundle is created for Exam Papers i.e. Assignment / Exam = ‘E’ in block one, the program will check that a value exists for the field Exam Group in the student’s subject registration record. Exam groups can be maintained in {SEXAM5-1} and {SEXAM5-2}. 

A student may not be linked to a bundle if the date for submission for the assessment as defined on {TASKS1-12} has passed. However, if an extension date for a specific student is found on {TASKS1-28}, the student may be linked to the bundle.

Year YYYY The year for which the bundle is created is displayed.
Block / Exam Month N2 The block code or exam month for which the bundle is created displays in this field.
Bundle Number N5 The bundle created when the information in Block 1 was committed will display in Block 2.  If the information in Block 1 is not committed when student information is captured in Block 2, on <COMMIT>ment of the student information the bundle number will be inserted.
Student Number N9 The student number that must be linked to the bundle. The system will check that the student is registered for that particular Year, Block or Month for that subject combination and that he / she is not exempted or cancelled; if not, the message “student not registered/been exempted/or additional exam allowed” will be displayed.
  • If a student is being linked to a bundle on b2 and a previous bundle for the same record exists, the program must check to see if the re-submit indicator on the latest (according to bundle number) of the previous submissions is set to 'Y' before the student may be linked. If set to 'N', the error message ‘Re-submission of the assessment number not allowed’ will be displayed.
  • Any assessment where the re-submit indicator = 'Y' is not included in the count of submissions.
  • If the activity on the bundle was defined on {SDSERC-3} as 'Include for Submission' = 'N', the previous submission of the assessment will not be counted in the number of submissions.  The user will be allowed to link the student to the bundle if the number has not exceeded the defined number as defined in {TASKS1-8}. If no record is found on this option the number of submissions allowed is set to 1.
Date Cancelled DD-MON-YYYY If a student has been incorrectly entered in a bundle, the entry can be cancelled.  A cancellation date must be entered for students who have been committed to the bundle incorrectly.  For students with cancellation dates the next option {TASKS1-2} will not allow capturing of marks.  A student who was cancelled from a bundle can be linked to another bundle for the same Year, Block or Month, Assignment or Paper and Subject combination. If only one student on the bundle has no cancellation date, the date can not be inserted. The bundle must be cancelled on Block 1.
Cancel Reason A2 Only values linked to indicator 'T', as defined on {SCODE-33} will be allowed.
Sequence N2 The system automatically allocates a sequence number to each student for the bundle. This sets the order for printing of the mark sheet {TASKS1-6} for the Optical Mark Reader (OMR).  This is to ensure that a student’s position in the list remains the same.  If the institution does not use the OMR facilities, the sequence number can be ignored.
Cancelled A1 If a students subject has been cancelled after the student has been included in a bundle, the field will display a “Y” value. When marks are captured for assignments using option {TASKS1-2} the option will give a warning to indicate that the student's subject has been cancelled but the entering of a mark is still allowed.
  For easy reference, it is suggested that the Bundle Number, as allocated by the system is also manually written on the first assignment in each bundle.
Maximum Submissions N2 The number of submissions indicates the number of times a student can submit an assignment or exam paper for a subject.  If submission rules are defined in option {TASKS1-8}, the value entered will be displayed for the Assignment / Paper / Mark Number / Subject combination.  All “Number of Submission” rules must be defined in {TASKS1-8}.  The option will not allow the student on to the bundle if the student's number of submissions is exceeded.

Block 3:  Printing of Bundles

Print Bundle List A1 This gives the user the option to print the bundle list immediately after it has been created.  If the user indicates “Y” on the <NEXT BLOCK> function, the bundle list will be printed.  To enable the printing of the bundle list using this option, the user needs to be linked to a printer for the printer function IBND. In option {GPRT-3} the user must have a record for the following combination;

System Code: STUD
Function Code: IBND
User Code: USER ID (Can be null).
Printer Code: The PRINTER CODE for the printer to which the bundle will be printed.
If there is no record for a particular user but there is a record without a user code for the function IBND, it will be used as the default and the user’s bundle list will be printed at the printer specified for this record.
Enter The Message Code A4 If a message needs to be printed on the bundle list for the marker, the message code and contents can be created with option {SSTUDC-2}.  The Message Code entered for the field contents will be printed between the students and the markers information.

Rules
 
  The triggers 'jch02trg.sql' will create a record on {SSTUD1-2} and 'jdj02trg.sql' will insert a record on {SSTUD1-7} if it does not exist.
Students linked on bundles cancelled will be excluded in the count of number of submissions calculation.
