Enter Assignment / Paper Marks {TASKS1-2}


This option allows the capturing of Assignment or Exam Paper marks after they have been received back from the marker.  The user will query the bundle reference number as created in option 1.  The ‘Date In’ is entered and the marker information is checked and entered.  The students linked to the bundle will be displayed in Block 2, and marks can be captured.  Block 3 can be used as a control tool to check for correct entry of marks by entering a batch total for the marks entered.  The user may also use the 'Bundle to Transfer to’ field to transfer records to other bundles for re-mark or moderation purposes.  The program will also compute a total and the two totals will be compared.

Block 1:  Student Bundle Assignment Mark Query

When assignments are received from the marker, the marks are normally entered onto the bundle list.  The user is required to query the bundle information created with option {TASKS1-1}.  The user can base the query on any criteria but it is recommended that queries be based on Bundle Number, Year, Block Code or Exam Month.   The number of submissions is displayed from {TASKS1-1}.  If an Offering Type was not supplied when the bundle was created, the program will determine the students Offering Type and determine the number of submissions for each individual student.

Cancelled Date DD-MON-YYYY This field is used to enter a cancellation date for a bundle on {TASKS-1}.
Cancel Reason A2 This field is used to enter the cancellation reason on {TASKS-1}. The user may not enter marks for students when a bundle is cancelled.

Block 2:  Students in this Bundle

For the bundle information queried in Block 1, the linked students will be displayed in Block 2.  Assignment or exam paper marks can be captured for all students displayed.  The option will not allow marks to be captured for students who have been cancelled from the bundle. Marks between 0 and 100 can be entered, and a mark must be supplied in respect of each student number in the bundle.  The result will default according to {SSTUD3-7}, TAB - Assessment Marks Result Criteria or {SSTUD3-1}, TAB - Default Examination Admission and Final Result Criteria, according to the competence indicator on the assessment number.  This option also performs the sub-minimum test that checks when a student submits an assignment / paper more than once and allows a previous mark to be replaced by the mark obtained on a later submission.  This is all determined by the rules defined by the user.

The marks may be entered on Question Level. The user may drill down to the question level on ifaapp.fmb by right clicking on the Mark field. The total number of question marks are added and displayed on b2.

These marks are written away to the normal Assessment Mark fields in options {SSTUD1-2} for assignment marks and options {SSTUD2-3} / {SSTUD2-4} and for the exam paper marks {SSTUDM-1}  / {SSTUDM-2}.  The marks can be queried and updated in these options if necessary.  A very important rule is that no mark updates must be done using option {TASKS1-2}; this will not necessarily override the value already captured for the student. It is dependant on the rules as explained below in the description of the Mark field. All changes that need to be done must be done using the above-mentioned study record options.

If a record does not exist on {SSTUD1-2} and / or {SSTUD1-7}, it will be created when the marks / results are entered and <COMMIT>ed. The user code and program name 'if2app.fmb' is written away.


Insert / Update or Delete on marks are written to a logfile and printed via {TASKS1-33} / {TASKS1-34}.

Year  YYYY The academic Year for which the bundle is created.
Exam Month / Block Code N2 / A2 The Block Code or Exam Month for which the bundle is created.
Bundle N5 The Bundle as queried in Block 1 will be displayed.
Student N9 The Students linked to the bundle with option {TASKS1-1} will be displayed. New students cannot be added in this option. A new record for a student in this bundle must be created in option {TASKS1-1}.

NOTES:
  • If the student does not have a record in the Mark Type and Assessment tables, this program will create these records.
  • If there are no criteria defined for the particular Year, Subject, Offering Type, Group Type, Group Value, Mark Type and Assessment Number, the program will not create mark type and assessment records. This situation is prevented because bundles cannot be created without the criteria being defined.
Mark N3 The Mark that has been obtained for the assignments or examination paper.  The user can right click on this field to drilldown to Question Level Mark Entry 'ifaapp.fmb'. A field was added to {SSTUD3-2}, TAB - Examination Admission and Final Result Criteria, ‘Maximum Mark for Re-submission’. If the field contains a valid the mark entered  for re-submissions may not exceed the mark specified on {SSTUD3-2}.

A check is done for Integrated Assessments as defined in {SACAD-12}. If this subject / assessment number is specified as the one with the assessment (left hand side), update all corresponding subject / assessment records (right hand side) for this student with the same Mark and / or Result. If the student is not registered (IAHSUB) for the subject on the right hand side of this table, an error is reported.

If the program is to take the number of submissions and the sub-minimum test into account, the rules for updating the results of a student are as follows:

The sub-minimum test is used when a student is re-submitting an assignment and the system must overwrite the initial mark with the re-submitted assignment’s mark or the mark of the initial assignment must remain unchanged.

  • If the Validation 'CS' = 'Y' and the mark entered is a re-submission, the assessment mark on {SSTUD1-2} will only be updated if the mark is higher than the previous mark and if the previous mark was less than the sub-minimum. If the mark entered is higher than the sub-minimum, no follow up mark will be updated on {SSTUD1-2}. If the validation is 'N' and the re-submission mark is higher than the first submission, the mark will be updated. 
Examples

If this Assessment is marked as ‘Type of Evaluation = C or P’, this field will be disabled and the user will not be able to enter a mark in this field.
Error message for Type of Evaluation 'C' 'Assignment is marked as Competence - No Marks Required'.
Error message for Type of Evaluation 'P' 'Assignment is marked as Professional Judgement - No Marks Required'
Result  A2 For Type of Evaluation = 'O' - The program will look up the appropriate result for the mark entered. This is defined in {SSTUD3-7}. If no result is defined for the mark, the program will issue an error ‘Mark not found in Subject Mark Number Result Criteria - {SSTUD3-7}’. The calculated result can be changed to another valid Result Code as defined in {SCODE-23}.
For Type of Evaluation = 'C' - only the results defined in {SSTUD3-1} for ‘Competent’ or ‘Not Yet Competent’ can be entered. The LOV on the result will also be limited to these two Result Codes.
For Type of Evaluation = 'P' - only results that is liked to the Rubric as defined in {SSTUD3-7}, TAB - Assessment Marks Result Criteria.
Exempt A1 Indicates if the student is exempted for the assessment.
Re-submit A1 Indicates if the student may re-submit the assessment again, even if the number of submissions as defined for the subject on {TASKS1-8} has been reached. If Yes the student will be allowed to submit the assessment again.
Verification Mark N3 The mark displayed refers to the mark entered under the secondary marks application on {TASKS1-7}@@
Cancel Date DD-MON-YYYY If a student has been incorrectly entered the entry can be cancelled.  A cancellation date must be entered for students who have been incorrectly committed to the bundle.  No marks can be captured for students with cancellation dates. However,  if a mark exists for the student that needs to be cancelled in this bundle then it should be removed either from {SSTUD1-2} for Assignment Marks or {SSTUD2-3} / {SSTUD2-4} and {SSTUDM-1} / {SSTUDM-2} for Exam Paper Marks. If the mark is not removed but the record is cancelled and the student is linked to another bundle then the mark entered for the cancelled record will be taken into account for any calculations and not the mark of the active (not cancelled) record. The cancellation reason will be displayed on right click.
To Transfer Tickbox Indicates whether the record must be transferred for re-mark or moderation purposes.
May Complete Subject Tickbox Indicates whether the programs to do the calculation up to final marks and results must be executed. If the criteria on {SSTUD3-2} indicates ‘Calculate results after last assessment’= Y, the trigger is fired and the field ‘May Complete Subject’ is marked with a ‘V’.  If the tickbox ‘Calculate results after last assessment’ is empty the trigger is not fired and the field ‘May complete subject’ is NULL.

The following validations are applicable:
  • Check if the decleration of the student that the work is his own, is signed. {SSTUD1-4}
  • To check that all compulsory assessments have been submitted on <COMMIT> select the tickbox for ‘Subject may be completed’.  If the compulsory assessments (JCHTMC) have been handed in and the full period mark weight = 100% and / or
  • To check that student has complied with, ‘Best number of Assessments’ if  (JDOBESTM) was specified, and / or
  • The student obtained the sub-minimum  (JDOCHECKSUBMIN) for all the assessment numbers of the mark type in question.
  • All the above rules must be complied with before a subject can be ticked for completion.
Complete Subject Button If the previous field contains a 'V' and the user clicks on this button, the calculation programs will be activated to compute up to the final mark and result level for an individual student. If the subject is linked to the Curriculum Structure on {SACADO-17}, the program linked to {SSTUD4-23} will also be activated. If the student is registered for a subject that is linked to another subject on the Integrated Structure on {SACAD-12}, the integrated subjects results will be computed as well if the subject can be completed.
Complete All Button If this button is selected the marks and results for all students with a tick in the 'May Complete Subject’ will be calculated.
Sequence N2 The Sequence Number linked to the student when the bundle was initially created will be displayed.
Cancelled  A1 If a students subject enrolment has been cancelled after the student has been included in a bundle, the field will display a “Y” value. When marks are captured a warning will display to indicate that the student's subject has been cancelled.  Marks can be committed for cancelled subjects, but cannot be used for any further calculation.
Bundle Copied N5 The Bundle the student was transferred from.
Mark Entry User A8 The user that entered the Mark and / or Result.
Verification User A8 The user that entered the Verification (secondary) Mark.

Block 3:  Bundle Marks Batch Total

The Batch Marks Control can be used to validate marks that could have been entered incorrectly.  If this functionality is going to be used, the marks entered in Block 2 must be <COMMITTED>.   The total marks on the sheet can be entered in the first field.  The system will calculate the total marks entered and warn the user if this does not correspond with the entered total.  This option will not allow the user to exit out of the option unless the two totals correspond. A student can be transferred to another bundle for re-mark or moderating purposes.

  The rules are as follows:
  • In option {SSTUD3-7}, TAB - Default Examination Admission and Final Result Criteria, the user needs to define the sub-minimum values for each assignment for which this test must be done.

  • The validation in option {SMNT-1}, TAB - Validation Control,CS – Sub-Minimum Attempts Check” will determine which mark will be used when an assignment is re-submitted.
  • In option {TASKS1-8} the user needs to give an indication of the number of times the student is allowed to submit a particular assignment. The user must define a number for all possible offering type values that is valid for a year and subject.
  • If the validation “CS” on {SMNT-1}, TAB - Validation Control is set to “N” the program will ignore the sub-minimum values entered on option {SSTUD3-7}, TAB - Default Examination Admission and Final Result Criteria.  The highest mark of all the assignments that were allowed will be taken into account.

  • If the validation “CS” in {SMNT-1}, TAB - Validation Control is set to “Y” then the program will take the sub-minimums setup in option {SSTUD3-7}, TAB - Default Examination Admission and Final Result Criteria into account when determining which assignment marks are the final ones to be used.

  • Student 1:
If the first submission is not less than the sub-minimum for the Assignment defined in {SSTUD3-7}, TAB - Default Examination Admission and Final Result Criteria, then the second submission mark will not be taken into account and the first mark remains the assignment mark.
  • Student 2:
If the first submission is less than the sub-minimum and the second is better, the second mark submitted will be used as the assignment mark.
  • Student 3:
If the first submission is below the sub-minimum but better than the second submission the first mark will be used as the assignment mark.

  The triggers 'jch02trg.sql' will create a record on {SSTUD1-2} and 'jdj02trg.sql' will insert a record into the {SSTUD1-7} if it did not exist.
