Submit Overtime Work Agreement {P00012-1}

This program may be used to Create, Maintain and Submit Applications for Overtime Work Agreements.

• Applications may be entered for either the Personnel Member logged in or any subordinate.
• Subordinates are  Personnel Members where the Personnel Member logged in is the Direct Senior - refer to Personnel Biographical {PBOP-1}
• In case the user is interrupted while entering an application, the program allows the user to save without submitting for approval so that the application can be recalled and completed at a later stage.
• The application consists of
• The personnel number of the person to work overtime
• A (short) description, to be used when listing Overtime Work Agreements
• A free text field for a motivation
  
• A table with Dates, Overtime Work Types {FPRG-11} and the Start- and End Times for the Overtime Work
• Only one row of the table at a time is available. To enter a second row, the user must <Save>.
• A tick box is available next to each row to mark rows to be deleted.
• The program will validate that Days, Start- and End Times conform to the set-up in Overtime Work Types {FPRG-11}. 
• Start and end times may be entered  in 15 minute intervals only.
• The program will calculate and display the total time and amount.
• Supporting documents may be uploaded with the Overtime Agreement application, a new SOD 'OA' in {GCS2-11} will determine whether the upload of supporting documentation is Mandatory or not, depending on the user setup.
• Upon submission the program will
• Calculate a total salary amount that may be claimed as a result of the Overtime Work Agreement
• For each row in the table, the amount is the product of the hours, the hourly rate of pay and the percentage where
  
• Hours is the difference between Start- and End Time
• Hourly Rate of Pay will be calculated based on the ED Code that is linked to the Overtime Type in {FPRG-11}. Then Overtime calculation method linked to the ED Code in {FPRG-6} may be setup to either use the salary notch in {FPRI-1} or the sum total of salary transactions up to a specific salary level.
• If the salary notch value is used in the ED Code, the salary Notch {FPRI-1} of the person, divided by the "Number of Hours per Year" as entered in the Institution Details {FPRM-1} is determined.
• If the sum of salary transactions up to a specific salary level is used in the ED Code, the calculated sum of the salary transactions of the person, up to the specified level, from the last salary calculation that has been done is used.
• The Start Time, End Time, Total Hours and calculated amount will be displayd per overtime agreement.

• Please Note:   

When the actual overtime is calculated, the sum of the salary transactions up to the specific salary level is used or the salary notch that is active at that point in time. This means the approved overtime amount may differ from the actual calculated overtime amount.

• Percentage is the "Rate Percentage" of the Earning {FPRG-6} linked to the Overtime Work Type {FPRG-11}.
• Validate that sufficient funds are available for the Work Agreement.
• Apart from the standard Financial Budget Control, existing (Approved) Work Agreements and with their Salary Claims are considered.
• The GLA used is made up of
• The Cost Centre on the Post {PACS-4} in the Service Record {PBOP-2} of the Personnel Member
• The Account in the Earning {FPRG-6} linked to the Overtime Work Type {FPRG-11}.
• Create a Routing Request {GROU-2} of the Routing Type indicated against System Operational Definition {FPRM-9} "OP - Overtime Work Agreement Routing Type" for Subsystem "PR".
• The data following will be written to the Routing Email Instruction Lines of Sequence 0 of the Routing Request
