External Conversion Codes {SCAO1-1}


This option can be used to build a relationship between any codes which may be used for external purposes, but must relate to the institution's internal codes, e.g. if use is made of a central applications office. This option allows the creation of codes for the CAO only.


This option is fully discussed in "General Support System" Manual this is a duplication of {GOPS 21}.

External Body A3  The code used to identify the external body e.g. CAO or the different Education Departments.  The <LIST OF VALUES> function can be used to view the valid values.
External Code Type A3 The type of code that is being converted e.g. Qual = Qualifications, TXT = text, etc.  The <LIST OF VALUES> function can be used to display the valid types.
Internal Code A10 The internal code that is used.  The <LIST OF VALUES> function can be used to display the valid values if required.
External Code  A10 The code that the external body uses.
Description A512 The description that is used for this code.
Mnemonic  A10 The mnemonic code, should this be required.
Matric Type A10 Use this value if the load of OAB values should be limited to individual matric types.

Examples  
  Values entered for the different categories:

Value CIT Citizenship The internal code must be one of the codes defined in {GCS2-6}.
Value COR Country of Origin There is no code structure for COR and in most cases the internal and external codes will be the same.
Value ISA Institution Abbreviation
  1. The internal code must be the same as that specified in {GCS-1}.
  2. If processing for another institution must be done, the internal code for the other institution must also be set to the same value as in {GCS-1}.
Value ISF Institution Flag
  1. The internal code must be the same as that specified in {GCS-1}.
  2. If processing for another institution must be done, the internal code for the other institution must also be set to the same value as in {GCS-1}.
  3. To limit the qualifications that must be loaded for the other institution, enter the external qualification code for the other institution in the mnemonic field.
  4. To process all qualifications for the other institution, leave the mnemonic field null.
Value MSB Matric Subjects
  1. The internal code must be a code that is defined in {SCAO1-4}.
  2. For the load program to actually load the matric subject, the Mnemonic field must have a value in it.
Value QAL Qualification Codes
  1. The internal code is the qualification code as defined in {SACADO-1}, Qualification Information for the year linked to system cycle 'S' and is set up in {SMNT-2}, TAB - Academic Structure and Exams.
  2. If processing must be done for another institution, the other institution's qualifications must also be defined in the academic structure {SACADO-1}.
Value SSC Secondary School Codes
  1. This is a new conversion code for V2.
  2. With the upgrade of the CAO to version V2, all the current school codes are inserted into this table. Users must indicate which internal code to use during the loading of CAO data.
  3. The internal code must be set to the school code that the institution prefers to use as defined in {SCAO1-5}.
  4. If the CAO supplies a school code that does not exist on the system, the student's data will be loaded as is. The load program will create a record in the secondary school table (IBCSCH in {SCAO1-5}) with the unknown code and the description 'Unknown Code'.
Value TXT Textual Information
  1. The internal code (A10) reflects a user-defined category. This will be inserted as the textual type into table ILXTXT for the year and block of the application.
  2. The user can define an internal code for each of the categories set out by the CAO or use only one category.
  3. A record must be created for each line of the category of textual data that must be loaded with the line number in the external code.
Value STP Student Type
  1. The internal code (A2) reflects a user-defined category. This will be inserted as the Student type code inserted into table IADBIO for the field "Student Type".
  2. The internal code must be set to the student type code as defined in {SCODE3-5}.
Value OAB Other Matric Type Attributes
  1. The internal code (A10) reflects a user-defined category. This will be inserted as the  textual type into table ILXTXT for the year and block of the application.
  2. The user can define an internal code for each of the categories set out by the CAO or use only one category.
  3. A record must be created for each category of 'Other Exam Information' that must be loaded with the CAO 'exam code' in the external code.

Rules
 
  Specific Rules Pertaining to options {SCAO1-1} / {GOPS-21}.

If the country code in option {GCS-1} is "IRL", the list of values will only display values for CAO and HEA.  If the country code is null, the values will be in respect of the Education Departments in South Africa.
