Lecturer Process Student Appeals {pl0001-9}


This option enables the lecturer to process student appeals. The lecturer can view student academic record {s00004-4}, motivation and financial detail and decide to approve or reject the appeal based on student progression or motivation.



Prerequisites to use this option.

Fields in this option:

Page 1:  List of Student Appeals

This page displays student appeals whereby the lecturer is linked to a specific subject or qualification on {SACAD-9}. Click on the student number to either approve or reject the appeal.

Page 2:  Select the option to process appeal or view academic record and view supporting documentation / dashboard.

Click on the student number link above and process appeal or view academic record. The supporting documentation may also be viewed by clicking on 'View Documents'. The category 'APPEALS'  is defined on {GDOCS-1}.
The student surname and full names are also displayed for easy identification.

Page 3:  Approve or Reject Appeal

This screen displays the student motivation with the qualification or subject appealing for. On click of process appeal pop up above the following screen will appear to enable the lecturer to motivate the appeal before a decision is made. On approve or reject of appeal a student gets an email and SMS with the outcome of appeal. The appeal will disappear from screen once a decision has been made.


If the value on RWFA = N, do not allow approver to click on 'Reject without further appeal' button.
If the value for AUTOYN = Y, then the new service request must be automatically created and if MAILYN = Y, routing must be send to the next approver.
On the reject or approve of a second appeal check if the SOD 1A/ST is Y, then also send email to the first approver. If N only email to student as currently.

On approval of appeal the menus at the back office as follows:

The end date of the student appealed status {SREGL-2} is set to the system date.

On rejection of appeal the menus at the back office as follows:

The end date of the student appealed status on option {SREGL-2} is set to the system date and if there is a record on option {SSTUDS-8} for the same Year, Indicator, Faculty/Department/Qualification/Subject and Offering Type and next sequence the system will create a record on option {SREGL-2} for the next sequence. The lecturer responsible for the appeal process will be able to send email to a student if additional information is required from the student. The student's email address is obtained from his biographical detail.

The end date of the student appealed status on option {SREGL-2} will be NULL, even if there is a record on option {SSTUDS-8} for the same Year, Indicator, Faculty/Department/Qualification/Subject and Offering Type and next sequence the system.  This is used to prevent a specific student to be allowed further appeal even if the setup on {SSTUDS-8} allows it.

Once the lecturer has made the decision on the appeal, a routing is created and email sent to the student regarding the outcome. The user can set up {GROU-1} routing type 'APR2', sequence 1 line 175 to print different messages on the email. This is done by defining an unique text message on {GOPS-21} as follows:

Approval : External Body  - APL
               External Code Type - AAA

Reject:   External Body  - APL
             External Code Type - AAR  

Reject without further appeal:   External Body  - APL
             External Code Type - ARW
