Maintain Graduation Certificate Generation Rules {SSTUD7-11}

This option will be used to maintain alphanumeric graduation certificate generation rules


The rules in this form can only be maintained if the SOD ‘AN - Use Alphanumeric for Certificate Number’ for subsystem ‘GR’ = ‘Y’ on {SMNT-12}.


The existing certificate numbers will not be replaced. The institution has a choice to use the Alphanumeric Certificates numbers or the purely numeric numbers.


The rules can be defined on different levels such as Institution, Faculty etc.When generating a certificate number for a student, the rules will be applied from the highest sequence (6 in the list below) to the lowest sequence.

Block 1: Certificate Generation Rules

This block is used to define the rules for generating the certificate numbers for students on {SSTUD7-2} TAB - Qualification Results.

Only approved qualification ID will display where there is at least one qualification with an active offering type (Y or P)

The Approved Qualification ID will be for the system cycle ‘S’ year.

Only Type codes will display where there is at least one qualification with an active offering type (Y or P).

D Department code (N4)

Only active departments will be displayed
 The description of the department as defined in {GCS-4}

Only active faculties will be displayed
 
 The description of the faculty as defined in {GCS-3}

 The Institution code

The institution code entered in {GCS-1} will be displayed

 The description of the institution as defined in {GCS-2}.
 

When a certificate number is generated for a student, the generate process will:
  1. first check if there is a rule for the student's qualification.
  2. If not found, it will check for a rule for the student's qualification Approved Qualification
  3. If not found, it will check for a rule for the Approved Qualification ID's qualification type
  4. If not found, it will check for a rule for the qualification's Department
  5. If not found, it will check for a rule for the qualification's Faculty
  6. If not found, it will check for a rule for the Institution.
  7. If not found, no certificate number will be generated
The first level on which a rule is found will be applied. If rules exist for the qualification, department and institution, the qualification rule will be applied.

It is thus possible to define a rule on a high level e.g. a Faculty, and then define rules for exceptions such as a specific qualification type or a specific qualification within the faculty.
 
Pre-fix or Suffix A1 To indicate the alphanumeric characters must precede or follow the numeric value on the certificate number.

 A3 The value for this field will be used to precede or follow the numeric value on the certificate number.
Last Number
 
 N10 The value for this field will determine the last number used during the automatic generation process.
Length
 
 N3 The value for this field will determine the maximum length the certificate number will be on generation.
