Load Exam Timetable  {SEDLES-1}

At the start of each examination cycle the Instructional program and Instructional offering information will be made available by the Department of Education.  Currently, only the exam timetable information is extracted for upload as part of the Electronic Data Link to the Examination System (EDLES)  

• Input files from the department must be uploaded or transferred via FTP to the directory defined in {BATCH-7} System = ‘STUD’ and Function = ‘EDL’.
• The file names should be in the format XYYMM.TXT ,e.g.  T1905.TXT will be the file name for Business studies exam written in June 2019  where
  • X  = Data Set Indicator as supplied on prompt , i.e. T for Technical Studies
  • YY   = Last two digits of the Examination Year
  • MM  = Exam Month
• Even though the File from the department contains multiple Record Types, only records of type 1 and 8 are processed.  The file from the department will have the following record types:
  • The Instructional information (record type 1)  containing the Exam date
  • The Instructional Programme information (record type 2 and 3).
  • Instructional Offering information (record types 4 and 5).
  • Examination Paper information (record types 6 to 8)  Exam paper record
  • The File control record (record type 99).
• The Exam month must be set up on {SCODE2-3}
• The Subject code must be linked to the Instructional Offering Number as entered in the External code on {SACADO-10}. 
• The following items are updated:
  • {SEXAMC-1} Examination Paper Date - If the Day Number does not exist yet for the specified Exam Code and the required date, a Day Number row will be inserted. The Day Number inserted will be the next available number. If a new Day Number cannot be calculated, the message - Cannot Insert Exam Day - No Day number available, will be sent to the output file and processing will  stop.
