Electronic Data Link to the Examination System {PSYS-7}

The EDLES system allows for electronic linking of the ITS system and the Department of Higher Education and Training (DHET) and is primarily used by South African Colleges.  The link is established by exchanging data files on magnetic media or transferring data files in a standard format as prescribed by DHET.

The following processes occur at regular intervals and as needed by the Department or Institution as per dates agreed upon.  The Department will supply an annual schedule for the exchange of information.:

• {SEDLES-1} At the start of each examination cycle the Instructional program and Instructional offering information will be made available by the Department. Currently, only the exam timetable information is extracted for upload into ITS and updated as follows:
  • {SEXAMC-1} Examination Paper Date 
  • {SSTUDE-2} Examination Paper Criteria
  • {SEXAMT-1} Examination Schedule
• {SEDLES-3} Upon completion of registrations, Student Enrolment details are extracted from the ITS system for use by the Department. The Department will process all entries and make a control file available to the Colleges with the captured information.
• {SEDLES-4} At the end of the registration period, Student Year marks, Practical marks and Internal marks are extracted and sent to the Department.
• {SEDLES-6} Upload the Exam Results from the Department of Education into ITS.
• The Department will issue a test acceptance certificate if all phases are tested and accepted as correct.

• {SCODE2-1} Maintain Valid Blocks, e.g. Year, Semester 1, Semester 2
• {SCODE2-2} Maintain Exam Types. The different types of enrolment are applicable e.g. Exam Only, Normal, Re-Examination
• {SCODE2-3} Maintain Exam Months. The examination months that are valid at the institution e.g. Final exam in June for Part time students
• {SCODE2-4} Maintain Exam Types and Blocks, the registration types and examination months that are valid during each Block are then specified e.g. Normal year exam in November
  
  
• {SCODE3-1} Qualification Types, e.g. National diploma.  Qualification types are used to identify Data sets via External Conversion Code EXA/DSI.  The Qualification Category should link to the appropriate Data set.
• {SACADO-7} Link the Qualification Types to the Approved Qualification

• {SACADO-4} Qualification Block code.  The Qualification is linked to the Academic block codes during which a qualification is presented

External Conversion Codes

External conversion codes entered on {GOPS-21} for external Body type EXA are used to link code structures used by the Education department to the corresponding code structures within ITS
