Functions called from Package iy7pkg.sql


The screen will enable the users to drill down into the new POL screen from the student summary screen by right-clicking on a student and then chooosing POL.  This will bring up a web browser with the new chart that will display the subjects and all their different Items and Assessments.  These Items and Assessment bars will be colour coded in order to indicate the status of each Item and Assessment i.e. not sent yet, at client, ready for assessing, etc.  No additional functionality will be available from this screen as the user will have to return to the student summary screen and do any work from there.

Fields in this option:

Block 1:  Query Criteria

Processing Rules:  This is a control block only, no data will be displayed in this block.  Enter the student number and select next block, a popup will display with the question 'Execute Query' Yes / No?  On selection of 'No', the form will move to the next block.

Processing Rules:  Enter a query on the student number and execute the query.  The student's data will be displayed.  With the cursor on the student number and on right click, select from the popup 'Student POL View'.

Processing Rules:  On selection of the Student POL View the view will be opened and will be displayed in the bottom right corner of the screen. Click to open.  

For the POL view to function to it full potential the following must be take note off:

  1. In order to display data correctly in the POL, students needs to be registered, data needs to be set-up, Items must be linked etc. 
  2. The most important structures that needs to be in place before a student can be registered and for the POL to display the prosesses correctly:

Months   This is an indication of the funding periods, mouse over the thin purple line below the months, as well as the study period of the modules.

Student Number   Student Number of the student.
Student Name and Surname   Name and Surname of the student.
Credits exist for this student in an external source outside of the ITS System
Contacts   Will display notes that are linked to the student.  Move the mouse over the vertical highlighted line to open the notes view.
Main Subject   The main subject will display at the left handside of the POL.
Modules   Modules linked to the main subject display with colour coding depending on the latest step of issueing of items and assessments.
Legend   Indication of the process i.e. 50 - Issued (Blue) etc.  Colours used in the POL are:

10:  White:  The moment this units mother module carries a final examination mark or a result.
20:  Assessed:  Purple:  At least one record exist in the Bundles table with either a mark or result.
30:  Received:  Red:  When there is a bundle record not marked yet OR when there is an assessment in the Holding Bin that has not been assigned to a bundle for marking nor it has reason for refusal populated. (If there is 1 ‘X’ item and 1 ‘C - Issued’ item requested (the C item also issued) and the ‘X’ item is send back for evaluation (received in the Holding Bin but not yet marked))
40:  Dispatched:  Green:  At least one item has been flagged as either ‘Issued’ or ‘Re-issued’.
50:  Issued:  Blue:  At least one Item has been flagged as ‘Issued’. (If there is 1 ‘X’ item and 1 ‘C - Issued’ item requested (the C item also issued))
55:  Issued by External Source: different shade of blue, say turquoise: If there is only  1 ‘X’ item requested as initial item for the subject. If there is 1 ‘X’ item and 1 ‘I - to be issued’ item requested for the subject
60:  Ordered:  At leaste one item has been flagged as ‘To be Issued’.
70:  Planned:  Grey:  No Items been Assigned / Issued yet.
98:  Inactive:  Orange:  Subject cancelled.
99:  Unknown:  Brown:  None of the above linked to the subject.

Example:  Status of Items / Assessments for module:  The colour of the module will display the last activity in the process that has been completed.  While the status per item / assessment will be indicated individually per colour for each of the items / assessments, with the description of the 'Status'.

Item   All the items that are linked in {SDGUIM-1} for the module will be displayed.  Remember that Items are not linked to the Main Subject.
Status   The status will display as is currently for the module per Item.  
  • This can be changed in {SDGUIS-1} from 'Hold' to 'To be Issued' .  
  • From 'To be Issued' to 'Issue' run {FPMO4-24} and then {FPMO4-25}. 
  • To 'Dispatched' the item use {SDGUIS-2}.
  • Re-issue the item from status 'Dispatched'.
  • Take note that only two records for the items will be displayed.  
Requested   This is the date on which the status of the module changed.  
Dispatched   The Date on which the Item is Dispatched. {SDGUIS-2}
Assessment   Assessments as was linked in the 'Holding Bin' {TASKS1-16
  • When a record exists in the Holding Bin (Received from the student), the color of the module record changed to 'Red' = 'Received'.
  • When the Assessment has been received back from the Marker / Teacher what the case might be, and the 'Date In' {TASKS1-2} field is captured the colour changed from 'Red' to 'Pink' = Assessed.  
  • When a final result code is entered for the 'Main Subject' as is '1000000' in the example below, the colour of all the modules will changed to 'White' = Completed.
Received from Student   When the Assessment is received from the student and a record is created in the 'Holding Bin' the date 'Received from Student' will be populated.
Sent for Marking   Date on which the bundle was created for the student.
Assessed   When the bundle was received back from the marker and the 'Date In' field is captured {TASKS1-2} the date will be displayed as Assessed date.
Confirmed       Take note:  Standards that are linked as a module will be displayed under the following conditions:       
  • Subject is defined as a Standard {SACADO-10} and linked to a Standard Code {SACADO-17}.
  • Subject is linked to a main subject as a module in {SACADO-17}.
  • Linked in {SDGUIM-1} in the Assess / Returnable field as 'Assessment Req'.
  • Only 'Standards' can be confirmed {SSTUD1-4}, except where a non-standard subject is linked to a involved standard subject in {SACAD-12}.  When the student is confirmed in {SSTUD1-4} the confirmation date will be displayed.
  • Where the 'Type of Evaluation' is set as 'P' = Professional Judgement.  
Returned   Returned Date not in use at this stage.  Ignore.

Each module will be displayed on a separate line as the modules are only linked to main subject 1000000 {SACADO-17}.
