Student Service Information {SDSERI-5}


This option is used to enter student service centre and personnel linking information or to query and maintain information already linked through the options {SDSERI-2} and {SDSERI-3}.   Service centres must be defined on {SDSERC-4}.

Student N9  The student’s number must be entered when a new record has to be created or queried, if a record exists.  
Year  YYYY The academic year for which the student is registered.
Activity A4 The activity code, as created in option {SDSERC-3} for either a qualification or subject.  The <LIST> function displays valid activity codes.  Exclude Activity codes with type "A".
Qualification  A6 If the activity code is linked to an event indicator:
  • (Q) - the qualification code must be entered.
  • (B) - both qualification and subject are mandatory. 
  • If the activity code is linked to (S) the qualification code may be entered and is not mandatory.  Keep in mind that when the qualification code is entered this combination must be valid on the 'Curriculum' {SACADO-17} and student registration {SREGAR-1}
as defined in option {SDSERC-3}.  The <LIST> function displays the qualification registrations for the year and student combination.  A cancelled qualification cannot be linked to a service centre.
Qual. No  N2 The qualification number, as generated on the qualification registration, will be displayed when the qualification code is entered.
Subject  A7 If the activity code is linked to an event indicator
  • (S) - the subject code is mandatory.  Keep in mind that when the qualification code is entered this combination must be valid on the 'Curriculum' {SACADO-17} and student registration {SREGAR-1}
  • (B), both qualification and subject are mandatory.
  • If the activity code is linked to (Q) the subject code cannot be entered
as defined in option {SDSERC-3},  The list of values will display the subject registrations for the year and student combination.  A cancelled or exempted subject cannot be linked to a service centre.
Subj No N2 The subject number, as generated during the initial registration of the subject, will be displayed when the subject code is entered.
Centre A6 The service centre code to which the student must be linked if the above combination is entered.  The <LIST> function displays all valid centres, as created in option  {SDSERC-4b3}.  If the institution does not use the postal code / activity combination for the link, the LOV will only display the values for exam centre from {SDSERC-4b4}.
Reason for change A2 This field will be mandatory if validation ‘CC – Reason for change mandatory’ is set to ‘Yes’: the following detail changes
  • Activity Code
  • Personnel number 
  • Service Centre
Values linked to the indicator 'T' as defined on {SCODE-33} may not be entered.
Person N9 The person who will be responsible for the student for the centre / activity combination can be entered.  The field is not mandatory; if the person isn't known when the record is created, it can be linked at a later stage.  The system will check that the person who is linked has a valid contract for the activity in option {SDSERP-1} TAB - Service Centre, before commit is allowed.


Panel box:  Qualification / Subject Information

When a student is queried in the search panelbox, the relevant data of the student will be displayed if data exists on:

Qualification Block  A2 The qualification block, for which the student is registered.
Subject  Block  A2 The subject academic block, for which the student is registered.
Exam Year  YYYY The exam year will be displayed according to the registration of the subject.
Exam Month  N2 The exam month, according to the subject registration. 
Ceremony Date  DD-MON-YYYY If ceremony information is entered for the student on option {SSTUD7-2b2} and the activity code for the record is linked to 'Event Indicator' (Q) or (B), the ceremony date will be displayed. 
Cancel Date DD-MON-YYYY Only subject cancellation date(s) will be displayed from {SREGC-4}.  The option will not allow the user to enter service centre information if the student has been cancelled.
Exempt  A1 If the student has been registered for exemption for the subject, the field will display a “Y” value, otherwise the default value “N” will be displayed for all records.
