Subject {S00009-3}

A short overview of this option.

No Name Description
1 System Cycles {SMNT-2}     Cycle ‘W – Web Registration’ must be open in order to process an registration
2 Validations {SMNT-1} a.      CA  - Check Subject Registration Attempts – Subsystem Subject Registration

If this validation is switched on, the number of registration attempts for a specific subject for a specific student is checked.   The number of attempts per subject is defined in option {SSTUD3-1} but can be changed for a specific subject type in option {SCODE-27}.

b.      CQ  - Check Quota per Curriculum – Subsystem Subject Registration

If this validation is switched on, the quota in respect of subjects within a curriculum, as defined in option {SACADO-5}, will be checked when registration is done.  The system will preclude the registration of students in a subject beyond these quotas.

c.       SQ  - Check Quota per Subject / Offering Type – Subsystem Subject Registration

If this validation is switched on, the quota in respect of subject / offering type as defined in option {SACADO-5}, will be checked when registration is done.  The system will preclude the registration of students in a subject beyond these quotas.

NOTE:  Validations “SQ” and “CQ” should not be used together, since both options validate against subjects and the one validation in fact precludes the other validation.

d.      CG  - Check Quota Class Groups – Subsystem Subject Registration

If this validation is switched on, the quota for class groups for a specific subject is checked.  The quota of Class Groups per subject is defined in option {SACADO-13}.

e.      MM  - Load Class groups– Subsystem Subject Registration

On Registration if validation “MM“ is “Y”: The registration program will automatically assign students to the lowest priority class group. All class groups are filled up to their minimum levels. Thereafter the program will fill the class group up to their maximum levels. No registration will be allowed if all the class groups are filled to their maximum levels.

f.        M1  - Class groups Timetable Clashes– Subsystem Subject Registration

When this validation is switched on, Check for Clashes on Lecturing Timetable when assigning to Class Groups is done. If the user wants to use the functionality of “M1” then the validation “MM” must be activated as well.

g.      WS  - Pre / Co-Requisites – Subsystem Subject Registration

The system will check the pre- and co-requisites of every student during registration.

3 The following fields must be entered:
A.     Available Subjects Depending on validations ‘GA’, ‘GB’ and ‘GC’ {SMNT-1} the available subjects will be displayed as defined in {SACADO-17}

B.     Mode of Study This refers to Offering Type as defined in {GCS-5}. If there is only one Offering Type linked to the selected year and qualification it will default into the list box. Else a list with all the valid Offering Types will be displayed. The valid combination is defined in {SACADO-16}

C.     Academic Period This refers to Block Code as defined in {SCODE2-1}.  If there is only one Block Code linked to the selected year, qualification and offering type it will default into the list box.  Else a list with all the valid Block Codes will be displayed. The valid combination is defined in {SACADO-12}.

D.    Examination This refers to the Examination Session where the year and month are greater than the system date as defined in {SCODE2-2b3}.  If there is only one Examination Year and Month linked to the selected year and block code it will default into the list box.  Else a list with all the valid Examinations will be displayed.

The following table compares the validations applicable to the different Registration Programs. The definition of the validation may be checked in the previous section on validations. There are standard ‘STD’ validations that have been duplicated to be Web specific. If it is a DistED Web registration the Dist Ed Validations have been used or alternatives created.
4 Valid Subject Group Combinations
{SACAD-11} may be used to set up a code structure to be used for subject generation on Web Registration. Groups of subjects are defined and then subjects are linked to the specific groups. Subject group rules can then be defined. This is currently used in the Web registration program. The application consists of 3 blocks and the detail is explained on the option.

The subjects will be generated according to the group set-up. The student must select the subjects for which he / she wishes to register. The compulsory subjects will be in a pre-selected list if only one block / offering type / study period combination on the curriculum is available. The student may then use the ‘Remove’ button if he / she does not want to register for the subject.

Once the student has completed the subject selection, he / she must click the 'Validate Subject Registration' button. If validation is successful, a confirmation screen will be displayed. If validation is unsuccessful a message will be displayed above each subject that failed validation. All errors must be resolved before registration can be completed.

After the validation was done the student may click on 'Complete Subject Registration' to complete the registration. If an amendment must be made, click on 'Return' to amend the subject selection.

The ‘Proof of Registration’ will be displayed once the subject registration was completed. The status of the Registration process may be viewed in the Process Status process of which the set-up is defined on {STWEBM-2}.
