Operational Manual: Executive iEnabler (Management Reports)
Introduction/Overview
The
ITS Management Reports has been designed to enable Managers and
Decision Makers of Higher and Further Education Institutions to easily
extract summarized information from their databases that is correct,
reliable, relevant and up to date.
The pre-defined reports should
answer their question to make well informed strategic and management
decisions. These reports must be clear in their meaning and easy to
interpret, and not intimidating to the end-user. From the outset, the
focus is more on concise, summarised information with the option to
drill down to detailed information, should this be required. For this
reason, ITS has created a number of pre-defined reports, divided into
different business areas (Students,Personnel and Finance) which will
enable the Executive Manager/s to obtain the required information with
a click of a button without having to spend a lot of time on specifying
their needs, and waiting for information from other departments if
programming or development of programs is required to answer in their
information requirements.
It has been developed to allow for the
delivery of Enterprise Performance Management figures and statistics
through either the Internet or the Intranet of an institution.
The
Management Reports also makes use of the pre-defined Views and
Summaries explained in the previous paragraph, but these reports have
been pre-defined as a library of reports and charts created
by ITS,
according to Executive Management requirements, and no system knowledge
is required to interpret the data that is presented with a click of a
button. Some user parameters may be required, for example the manager
may be requested to enter the Year for which the information must be
displayed in report format. Should the manager wish to find more
detailed information, this facility is exactly the information
that will appear on the Web
Page; However a specific manager may wish to see the number of staff
per department within a faculty, and for this he/she may wish to
“drill-down” from faculty to department or vice
versa for drill up

Note that the figures or
graphs represented in the Screen shots in this document do not
represent those of any particular institution, and serve merely as
examples for a particular workbook.
The Systems Administrator of each institution has full control as to
which of the reports will be made available for access by the users. T
The set of reports and charts available from the Management Reports
have been identified as the most frequently asked reports from Managers
in the HE section to date.
The Management Reports forms part of the Personnel iEnabler system,
although external users of the ITS system, may also see these reports
with the approval of the System owner. The hierarchy of the Management
Reports in terms of the other Personnel Web systems is as follows:

Each of the folders contains a number of pre-defined workbooks
customised for the Manager’s convenience.
For technical users the hierarchy can be seen from the ITS menu options
stated below where function represents the menu option and the parent
business function represents the higher menu:
Logging onto the system for the
first time
1. Enter your Personnel (Staff) Number in
the Personnel Number block
2. Enter your PIN (Personal
Identification Number).
3. Click ‘Login’
4. You should now have the Personal
Details Screen with your personal details displayed.
5. Click ‘Change your
PIN’
6. Type in a ‘new
PIN’. Confirm by re-typing in the
‘Confirm PIN’ box and click
‘OK’. The system will display
Information PIN Updated. Click
‘OK’.
Example:
iEnabler Screen Layout
The left hand panel on the page displays Business Functions and
Business Processes as defined by the menu structure in set up in
{PWEBM-1} and {PWEBM-2}.
Once familiar with the set up as done in ITS, and having logged onto
the iEnabler Web Page, the following screen will be displayed:
Business function:
Is the parent record of a Business Process; A Business Function could
also be a Business Process if this record is linked to a higher
Business Function, E.g. The folder “Student” is the
Business Process of the Business Function of the folder
“Executive iEnabler” and at the same time a
Business Function for “Student Applications”.
“By Faculty, By Faculty/Qualification” is a
Business Process of the Function “Student
Applications” . Each Business Process is driven by an
Executive iEnabler Report.
