Link Personnel to STS Roles {SSTUDTM-1}


This option is used to define the Personnel Roles for the Student Tracking System(STS) and determine their level of access. The user may be linked on institution, faculty or department level. It is also possible to restrict the user further on setting the Email, SMS and indicator Full Access to 'N'.  The option {SSTUDTR-1} may be used to print the detail.


Personnel have an active service record on {PBOP-2}.
Roles must be defined on {SSTUDTC-1} and active.
Institution code must be defined on {GCS-1}.
Active faculty codes defined on {GCS-3}.
Active department code defined on {GCS-4}.

The structure will be copied with the Academic Structure {SACAD-3} and delete with {SACAD-2}.

The import and export functionality is added to this option.

Year N4 The Year for which the Role will be valid.
Role A4 STS Role to be linked to Personnel for the Year. 
Desc A80 The <LOV> will display only the active Roles as defined on {SSTUDTC-1}. The <LOV> will display only the active Roles as defined on {SSTUDTC-1}.
Number N9 Enter the personnel number for which the role will be valid. The <LOV> will display all the valid Personnel Numbers with an active service record on {PBOP-2}.
Title, Init, Surname Display Personnel's Title, Initials and Surname.
Level A1 STS Level on which the role will be applicable. This functionality is used to determine if the roles will be centralised or decentralised.

Code A1 Valid Code linked to the Level
  • (I)nstitution: display institution code defined on {GCS-1}.
  • (F)aculty:  display the active faculty codes defined on {GCS-3}.
  • (D)epartment: display the active department code defined on {GCS-4}.
Mail Y/N A1 Indicate if the Personnel should receive an email in the intervention/tracking process. On insert the field will default to N and a NULL value will be regarded as N.
SMS Y/N A1 Indicate if the Personnel should receive an SMS in the intervention/tracking process. The SOD  SB/RS on {SMNT-12} will also affect SMS  send or not. If the SOD is set to N and SMS  value on this field is N, an SMS will not be created. On insert the field will default to N and a NULL value will be regarded as N.
Full Access Y/N A1 Indicate if the Personnel will have access to maintain/re-assign students not assigned to them on {SSTUDTO-2} and on the Risk Analysis Reports on the Back office as well as the Lecturer iEnabler will have an influence. On insert the field will default to N and a NULL value will be regarded as N. The programs marked below with * will display all students within the level of access defined irrespective of whether the personnel is linked to the student or not where the full access indicator  is set to N.. Those programs not marked will only display student detail linked to the personnel where the full access indicator is set to N.
