Online Application Wizard

The Online Application Wizard is a standalone web application where new applicants can apply for studies at an institution. Only student without a student number at the institution can use this functionality.

The wizard is a web application which requires students to fill in Biographical Information, Disability, Secondary School Information, Matriculation Details and any other Tertiary Study information at other institutions.

On completion of these pages the student will get the option to enter the Academic Qualification they want to apply for. If there is data outstanding on any of the pages, an applicant cannot complete the application process.

Previously passed Subjects Applicants can link Previously Passed subjects to any Previously Obtained Qualifications they documented.

Academic Application Process Page

  1. Applicants that have started with the process and completed the Biographical Page and reached the Results Detail Page will be allowed to exit the web page and return at a later stage.
    They can either enter their ID Number or Passport to resume the application and navigate through the previously entered page to the last page they attempted.
  2. On click of 'I Accept', the applicant will be allowed to continue the rest of the application.
  3. Text in the page may be customized by the System Administrator using {GOPS-8}, for the text codes below:
    1. NTE_2114: Page will guide you how to proceed with your application
                       If you already have a student number, we will provide a URL to log into the institution portal
                       If you are a new applicant please continue with your application
    2. NTE_2129: Please read and accept the following POPI clause.
    3. NTE_2105: Please proceed to log into the online application webpage with your student / ID / passport number, to continue with your application.
    4. NTE_2117: The token is used to only provide a pre-defined list of qualifications to specific students.
Qualification Specific Token Tokens are given to specific applicants based on the institution rules and regulations.
If the token is entered then applicants can apply for only those qualifications linked to the token in  "Application Qualification Classifications and Descriptions {SNAPPA-18}" for the year.
Document displayed

The "Document {SLLL-1}" linked to "Process Event Code {STWEBM-7} "PO - POPI Act Documentation" will be displayed.

  • It can be a text only document or a pdf document stored in directory web / itsdocs. (Similar to Registration Rules and Regulations on iEnabler).
I Accept The "I Accept" function will link the "Certificate / Indicator {SCODE-22}" indicated in "Processs Event Code {STWEBM-7}" "PP - POPI Act Indicator" to the Student.
  • The Certificate/Indicator must have (N)o in the "Insert" field
Once a student number has been created, the Certificate/Indicator record can be accessed in "Certificates Seen {SREGB-8}".

Biographical Details

  1. Applicants that indicate they are in possession of a valid SA ID / Birth certificate will be created with student type 'N'.
    The citizenship will be populated with the value defined on {SMNT-12} SOD CR / BI - Citizen Relationship Requirement.
  2. Applicants that indicate they are not in possession of a valid SA ID / Birth Certificate will be required to choose their citizenship code.
    This code will then be used to determine the student type of the student via setup on {GCS2-6}.
  3. The answer to 'Is a bursary required' field is stored in the 'Bursary Required' field on {SREGB-1}. No further action is taken.
  4. Initials, Surname, First Name and Maiden Name will be forced to uppercase.
  5. All addresses will be forced to uppercase
  6. Text in the page may be customized by the System Administrator using {GOPS-8}, for the text codes below:
    1. NTE_2131: You have been identified as a minor. You will be allowed to continue with your application but you need written approval from a parent or guardian.

ID Number
The ID number is used to determine whether the applicant is a South African Citizen, a Permanent Resident or a Non-Resident.  It is controlled by the "System Operational Definition {SMNT-12}" "ID - Use 3rd last digit from ID to determine RSA citizen for Subsystem WZ"
  • When it is 'N' or is NULL and applicants indicate they are in possession of a valid SA ID/Birth certificate then the Non-Resident field will be updated to 'N' in the Student Biographical {SREGB-1}.
  • When it is 'Y' and the third last digit of the ID Number is zero then the Non-Resident field will be updated to 'N' on {SREGB-1}.
  • When it is 'Y' and the third last digit of the ID Number is not zero then the Non-Resident field will be updated to 'P' on {SREGB-1}.
When applicants indicate they are not in possession of a valid SA ID/Birth certificate then the Non-Resident field will be updated to 'Y' on {SREGB-1}.

For Non-South African institutions:

The User ID will be populated in the field ID Number and is used when the applicant indicates he/she is a citizen of the country linked to the institution. The citizenship code for the country is controlled by the "System Operational Definition {SMNT-12}"CR" for system “BI”.

The field to indicate if the applicant is a Citizen, a Permanent Resident or a Non-Resident, is controlled by the "System Operational Definition {SMNT-12}"ID” system “WZ".
  • The value should be kept on 'N' or is NULL to populate  applicants indicate they are in possession of a valid User ID the Non-Resident, the field will be updated to 'N' in the Student Biographical {SREGB-1}.
  •  When applicants indicate they are not in possession of a valid User ID, but passport then the Non-Resident field will be updated to 'Y' on {SREGB-1}.
Citizenship Codes Set up on {GCS2-6}. Only Relevant for NON-SA Passport holders.
Study Permit Category Set up on {SCODE3-6}. Only relevant for NON-SA Passport holders.
Date of Birth
If  the applicant age is less than the age specified in Process Event Code {STWEBM-7} "MA - Minimum Age to Apply"',
 the message from "Text Code {GOPS-8}" 'NTE_2131' will show and the applicant will be able to continue with application.

Title Set up on {GCS-9}. Only display titles marked as 'Available on Web'.
Home Language Set up on {GCS-6}.
Ethnic Group Set up on {GCS-7}. Only display active groups.
Where did you hear about us Set up on {SCODE3-21}.
Is a bursary required?
This field will show by default when SOD (SF/WZ) on {SMNT-12} is NULL or set to "N".
If  SOD is set to "Y', the field will be replaced by "How to you intend paying for your studies?". Possible answers "NSFAS, Self Paying, Other". The answer will reflect on SREGB-1, "Source of Funding" field.
Address and Communication codes See section on Address Setup.
Find your Town
This field is controlled by  SOD (PP/WZ) {SMNT-12}
If the SOD is Null or set to No, the field will not appear.
The field appear only when SOD (PP/WZ) is set to "Y". If the student uses the OV and chooses a town – the wizard will prepopulate the data into the 3rd ,4th address lines and the Postal code.

NB: This field will only show on Student Biographical address
Do you want to apply for residence? This field will show by default when SOD (ST/WZ) on {SMNT-12} is NULL or set to "N". Applicants that choose (Y)es, will be notified via e-mail about the process on applying for residence but the system will not automatically generate a residence application record.

If  SOD is set to "Y" and "How to you intend paying for your studies?" is "NSFAS", the field will be replaced by "NSFAS students will you be applying for Transport or Accomodation?", with the following possible answers "Accomodation, Transport".
If the student choose "Accomodation", another field, "Indicate the residence type you prefer" will be available for the student to select, possible answer "Private Accomodation, College Residence".

NB: SOD (ST/WZ) set to "Y" is only applicable when SOD (SF/WZ) is set to "Y" and student choose "NSFAS" on "Indicate the residence type you prefer"
Disabilities Set up on {GCS2-1}.   Only records marked for use in the iEnabler that is active will be available.

Underage Students

Institutions may require additional information for Underage students.  This information will appear when the Date of Birth is entered and the student is determined to be underage.
  1. This screen is only displayed when SOD UG/WZ 'Implement Underage Guardian Agreement' is set to 'Y'
  2. Minimum age is specifiedin Process Event Code {STWEBM-7} "MA - Minimum Age to Apply"
  3. Enter values for Event Codes on  {STWEBM-7} to store address types from {GCS-24} for

    1. NTE_2231 - You will not be allowed to continue with your application until you agree to the underage agreement above.
  5. If the student accepts, then a new certificate as set on event AC on {STWEBM-6} is created for the student and marked as Seen = N.

Address System Setup:

  1. Codes required for the creation of the Primary Contact Information will be identified by means of the Primary Indicator in the set-up "Contact/Address/Tel Types {GCS-24}".
  2. Other Address Types must also exist, but they need not be marked as Primary
  3. Further setup will be done via "System Operational Definition Parameters {GCS2-11}" and "Process Event Codes {STWEBM-7}".

English Code - Indicate the time unit (minutes) when a session will expire with no activity on the Wizard.
                      Expiry time should not exceed 90 minutes.
                      More than 90 min will negatively influence the performance on the system.

Application Fee Detail

  1. This page will only show when SOD AF/WZ is set to Y – Yes on {SMNT-12}.
  2. Institutions can set the application fee they want to charge an applicant on {FCSM-1} with SOD AF/SD.
  3. Applicants have an option of paying via Credit card, EFT, Bank deposit or cash
    1. If a student makes a credit card payment via the third party B2B then all the transaction will be visible on {STWEBM-10}
  4. Applicants who pay via EFT, Bank deposit or cash will need to be cleared by the institution.
  5. An applicant will only continue with the application to next page once the payment has been cleared by the institution.
    1. The applicant will have to pay the specified application amount on {FCSM-1} SOD AF/SD for the payment to be cleared.
    2. The applicant shall be notified by email that the transaction has been cleared by the institution (Please see the GROU-1 set-up).
  6. In order to make credit card transaction via the Wizard, the institution must have the following in place:
    1. SSL Certificate – Secure Socket Layer This is obtained from the B2B&nbspe-Payment service provider
    2. An agreement with an e-Payment Service provider
    3. Additional integration between the Integrator System and the systems used by the service provider may be required

Results Detail Page

Determine if the student is applying for Undergraduate or Postgraduate studies. If the student is applying for Undergraduate studies, Matric results have to be entered.

Undergraduate - Matric Results

  1. If the applicant already has matric results and the results has been uploaded from the Department of Education's matric tape into ITS system {SNAPPM-10}, the system will match the student using the ID Number or the Surname / First name and Birthdate combination.
  2. If a match is found, the subject and results will be shown and the applicant cannot change or add anything on the page.
  3. The system will validate number of subjects only when the applicant manually enters the subject on wizard.
  4. If a student is in the process of upgrading or has upgraded, he / she will have to submit the existing results and contact the institution to have the latest results processed.
  5. Only subjects linked to a single Matric Type can be loaded manually. If there are multiple Matric Types on the matric tape, the system will populate all subjects.
  6. An applicant will be forced to adhere to the minimum and maximum number of subjects defined per School Leaving Certificate (Matric Type) if entered manually.
  7. No restriction will be applied on the number of subjects entered for Matric Types where the minimum and  / or maximum number is set to 0.
  8. The matric date will be calculated by taking the year entered and appending month 11 to it, in a Format YYYYMM.
  9. Text in the page may be customized by the System Administrator using {GOPS-8}, for the text codes below:
    1. NTE_2118: Please select whether you are applying for a postgraduate or undergraduate qualification.
    2. NTE_2108: We have received your matric / grade 12 subject detail from the department
                       Click on the 'Continue' button in order to continue with your application.
                       You should contact the institution if you need to change the marks below.
    3. NTE_2109: Fill in or select the requested information.
                      Click on the 'Add' button in order to add your subject detail. 
                      You can add more subjects by repeating the steps listed above and clicking the Add button.
                       Once a record has been added to the list of subjects, you can remove it by clicking the Remove checkbox to the right of that entry.
Matric/Grade 12 Year The matric year will determine which qualification type to apply for.

If the matric year entered is equal to system year or system year minus one, then applicants can only apply for undergraduate qualifications.

If the matric year entered is equal to system year minus two or more, then applicants can apply for either undergraduate or postgraduate qualification.
Are you upgrading? The answer for this field will be stored in the Student Biographical  {SREGB-1}. If the applicant indicates they are upgrading matric, the Certificate Seen record {SREGB-8} will be created with the Certificate Code from System Operational Definition {SMNT-12}" "UP - Upgrade Certificate Code" for Subsystem "WZ"
Final School Leaving Certificate The available list is from Matric Types {SCODE3-1} where 
  • 'Use in the iEnabler' is (Y)es
  • November of the Matric / Grade 12 year falls within the start and end date range. 
  • The type correspond with the South African or International matric question.
Note: The ARS web service will only process matric types where the 'Use in ARS' field is set to 'Y - Yes'.
School Leaving Subject The available list is from Matric Subjects {SCODE-5} where
  • The Matric Subject is linked to the "Final School Leaving Certificate" (Matric Type) chosen by applicant.
Grade Setup on {SCODE-6}
  • Display all matric types defined in Grade / Level Description tab.
Final Gr11 Perc(%) This field will show only when matric year is equals to the calendar year.

Academic Application Page

  1. Institutions that makes use of the ARS web service will have the functionality to indicate if an applicant qualifies for a qualification or not. 
  2. If a student does not qualify, they can still choose to apply for the qualification but the admit status on this record will be populated with a status that leads to an admit = (N)o.
  3. Applicants will only be allowed to enter a certain number of applications per application type. 
  4. Text in the page that may be customized by the System Administrator on {GOPS-8}, is indicated by the text codes below:
    1. NTE_2112: <li>The list of qualification provided can in some cases only be the qualification you qualify for.
                        <li>If you have written a South African matric we will take the subjects and marks on the Matric page as the guide to determine for which qualifications you qualify.
                        <li>If you have not written a South African matric or if you are applying for a post-graduate qualification the list will be exhaustive.
    2. NTE_2101: You chose to continue admitting an application although you do not academically qualify.<b>NOTE: Your application will be declined< / b>.

Rules and Agreement

  1. On click of 'I Accept', the applicant will be allowed to submit the application for processing.

                                    The upload screen will indicate which certificates are required.

  5. Category ITS_CERT should be linked to program ws29pkg.sql and program block WS29_CERT_FRM on option {GDOCS-4} TAB: Link DSR Category to Program.

Confirmation Page

  1. Successful applicants that indicated that they want to apply for a residence will get a second email with detail instructions on what to do to apply for a residence.
